Human Resources Benefits & Finance Coordinator
Etoile Academy is seeking a detail-oriented, organized, and collaborative Human Resources Benefits & Finance Coordinator to support key operational functions in both HR and finance. This dual-role position ensures accurate and timely processing of employee benefits and payroll, while supporting financial operations such as budgeting, expense tracking, and compliance. Key Responsibilities
Human Resources (HR & Benefits):
Serves as the primary point of contact for employee benefits, including health insurance, retirement plans, paid time off, and leave requests.
Manage employee benefits enrollment, changes, and terminations, including health insurance, retirement plans, leave tracking, and wellness programs.
Serve as the primary point of contact for employee benefits-related inquiries.
Support onboarding and offboarding processes, including supporting new hire data collection and background checks, new hire documentation, and exit interviews.
Maintain and update employee records in the HRIS system and ensure compliance with federal and state employment laws and Employee Navigator.
Maintain up-to-date and compliant employee records in the HRIS.
Assist in implementing HR policies, procedures, and internal communications.
Delivers professional development and training to staff when needed and open HR time.
Updates the Staff Handbook and presentations annually to reflect the HR department's key changes in policies and benefits.
Strategically tracks data and makes data-informed decisions about HR and Benefits partnerships.
Updates Leadership dashboard weekly on Fridays to reflect Human Capital and assets.
Assist in administering FMLA, ADA, workers' compensation, and other leave programs.
Support employee relations and internal communication related to benefits and HR policy.
Ensures all salaries are verified by supporting documentation: service records, degree transcripts, and certification records.
Forecasts Human Capital budget and monitors FTE in alignment with enrollment.
Finance & Payroll:
Process and manage bi-weekly payroll, ensuring accuracy in timekeeping, deductions, and employee updates in coordination with external payroll providers.
Process the deductions and payroll benefit change files with third-party providers.
Track and reconcile accounts payable and receivable, process invoices, and manage expense reimbursements.
Assist in preparing financial reports, budget tracking, and audit documentation.
Support procurement and purchasing processes, including vendor management and contract tracking.
Collaborate with the finance/operations team to ensure compliance with internal controls grant requirements, and financial best practices.
Reconcile all Leave in Ascender employee leave portal.
Supports employee reimbursements and contractor payments.
Create and approve purchase orders and ensure Etoile staff and vendors get a copy of purchase orders in a timely manner.
Assist with preparation for the annual financial audit, including gathering documentation, responding to auditor requests, and maintaining organized records.
Monitor and support school, department, and grant-specific budgets, ensuring appropriate allocation of funds.
Prepare monthly financial reports and assist with budget-to-actual tracking.
Ensure terminations are up to date in Employee Navigator to ensure fiscal management.
Credit card reconciliation on a monthly basis.
General HR/Talent Support:
Support with team events, projects and cross-functional collaborations with schools and operations teams.
Support recruiting needs as needed including attending events and collateral creation.
Other duties needed to support the work of HR/Talent.
Other cross functional duties that support enrollment at career events as well as marketing Etoile as the Emergent Bilingual school of excellence.
Support coordinating the interview process and candidate communication, ensuring a professional and welcoming experience.
Support onboarding of new hires including background checks, documentation, and orientation logistics.
Maintain a positive candidate experience and ensure timely updates throughout the hiring process.
Support in job postings on internal and external platforms; track applications and coordinate with hiring managers.
Support in tracking recruitment metrics and contribute to continuous improvement of hiring practices.
Support in screening resumes and conduct initial candidate outreach and scheduling.
Participate, Plan, Analyze, and Present at Network Stepbacks for HR & Finance.

Minimum of 40+ hours spent at school per week.?
Additional responsibilities may include: after-school tutoring or Saturday school and are based on the needs of our students.
Qualifications & Requirements
Education: Bachelor's Degree from an accredited four-year educational institution is required. Bachelor's degree in Human Resources, Business Administration, Finance, or a related field. Master's Finance Degree or MBA preferred.
Certification: Obtains the Certified Texas School Business Specialist (CTSBS) designation or higher within one year of the role and maintains certification requirements while within this position.
Experience: 2+ years of relevant experience in HR, benefits administration, and/or finance coordination (school or nonprofit experience a plus).
Skills & Competencies:
Familiarity with HRIS/payroll systems (e.g., ADP, Paychex, etc.) and accounting software (e.g., QuickBooks, NetSuite), Ascender systems.
Strong knowledge of benefits, payroll, and finance.
Strong Excel and data management skills.
Exceptional attention to detail, time management, and confidentiality.
Ability to communicate clearly, professionally, and empathetically.
Commitment to student success and a growth mindset.
Ability to build meaningful relationships with students, families, and staff.
Effective classroom management and instructional strategies.
Flexibility to travel between two campuses as needed.
