About this Role

NorthStar Energy Services is looking for a skilled individual to keep our projects and the people behind them running smoothly. You'll own day-to-day office administration and be the go-to support for cost tracking, payroll inputs, payables, and client invoices. Your work lets project managers focus on engineering while you keep the numbers accurate and the paperwork tight.

What You'll Do

Office Admin

Manage supplies, PPE, and equipment

Format and print documents & presentations

Coordinate with IT and vendors for service calls

Maintain contract files and execution logs

Project & Cost Coordination

Open job numbers and set up project folders

Validate timesheets; monitor labor & material cost

Deliver weekly cost-summary reports to PMs

Assist with project proposals

Finance Support

Process accounts payable; match POs & receipts

Prepare client invoices and follow up on receivables

Compile time & expense data for payroll

Assist monthly close; run cost, revenue & margin reports

What You'll Bring

Associates Degree in Business, finance or related field

Bachelor's degree in Business, finance, accounting or related is highly preferred

5+ years in office or project-admin roles with finance duties

Advanced Excel (formulas, pivot tables, macros)

Working knowledge of accounting/ERP software (Spectrum; QuickBooks)

Detail-focused, discreet, and self-directed

Experience in engineering, EPC, or energy construction environments, preferred

Familiarity with database tools or BI dashboards, preferred

Must be a U.S. Citizen or Permanent Resident
