Major Responsibilities
Preconstruction:
Update employee resumes, project reference sheets, and any other required documents for proposals and/or pre-qualifications.
Manage project startup and closeout information regarding projects and update database.
As needed, assist with references, document production and control for preconstruction proposals. Secure letters of bonding capacity, insurance and finance vendors.
Assist with filling out forms, documents, LOIs, etc., for vendors related to a proposal.
Coordinate forms and documents, obtain signatures and notarize where required; follow checklists to assist staff with completion of proposals.
Estimating/Bidding:
Manage and track incoming pursuits utilizing our lead tracking spreadsheet and open bid websites.
Manage bid documents and send bid invitations; conduct follow-up phone calls to subs/suppliers as directed.
Upload drawings for bid invites. Manage addenda, RFI's and document control for estimating staff.
Provide administrative support in preparing bid documents, including securing bid bonds, performance and payment bonds, good faith effort paperwork, etc. Support the estimating team on bid day.
Estimating / Procurement:
Assist estimating staff with setting up new contracts. Manage the chain of custody for contracts, insurance, bonds and project paperwork.
Conduct Project Setup steps in Vista for new projects, i.e., create a project, set up a contract, set up a phase, and interface with job cost.
Prepare subcontracts/purchase orders, QC scopes, unit prices and related information from estimator-supplied scopes and quotes.
Send out subcontracts and purchase orders for execution via DocuSign, track and ensure documents are returned and signed. Coordinate language modifications with the project team.
Track contract documents, modify master agreements and do compliance tracking.
Minimum Job Requirements
Education:
Associate's degree or equivalent experience in a related field
Work Experience
2 - 3 years of administration or support in a coordination role
Proficient in Microsoft Office Applications

Construction experience
3+ years coordination support
2 - 3 years' experience with ProCore
Knowledge / Skills / Abilities:
Notary preferred (must be able to obtain within 60 days of starting.)
Compensation : Constructiv is committed to fair and equitable compensation practices. The annual salary for this role is $63,000.00 - $94,500.00. This compensation will ultimately be in line with the location in which the position is filled. Final compensation for this role will be determined by various factors such as a candidate's relevant work experience, skills, certifications, and geographic location. This role is eligible for variable compensation including short term and long-term incentives.
