Job Title: Accounting Administrator

Job Description

The Accounting Administrator will process and enter daily invoices into the accounting system, ensuring they are reviewed and approved by project management in a timely manner. This role involves managing Accounts Payable and Contract documentation inboxes, maintaining organized and up-to-date records, creating and maintaining subcontractor profiles and change orders within the accounting platform, and working with project managers to revise subcontract agreements, ensuring full execution prior to project start.

Responsibilities

Process and enter daily invoices into the accounting system.

Ensure timely review and approval of invoices by project management.

Manage Accounts Payable and Contract documentation inboxes.

Maintain organized and up-to-date records.

Create and maintain subcontractor profiles and change orders.

Work with project managers to revise subcontract agreements.

Ensure full execution of subcontract agreements prior to project start.

Collect, track, and maintain up-to-date COIs, W-9s, and signed change orders from subcontractors and owners.

Distribute change orders for signature and confirm receipt.

Ensure proper filing and documentation of change orders.

Essential Skills

Background in accounting, finance, and administrative duties.

Proficiency in Microsoft Excel and Microsoft Office.

Experience in AR/AP Management and technical accounting.

Additional Skills & Qualifications

Experience with accounting systems and invoicing processes.

Administrative support and data entry skills.

Work Environment

The position requires working onsite five days a week, maintaining consistent hours within standard business hours. Flexibility to adjust hours may be needed.

Pay and Benefits

The pay range for this position is $40000.00 - $45000.00/yr.
