What You'll Contribute
Do you enjoy partnering leaders to drive efficiency and impact? If so, we may have the role for you! We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. As a cornerstone of administrative efficiency, you will play a pivotal role in supporting the needs of our divisional leaders. This position offers an opportunity to thrive in a fast-paced environment where your organizational prowess, effective communication, and proactive problem-solving will be the keys to your success.
More specifically, this role will provide administrative support to leaders within the Chief Operational Officer (COO) division to include managing complex calendaring, supporting meeting needs, submitting timely expense reports, coordinating travel arrangements, and ad hoc administrative needs. This position part of our COO Command Center team and will report to the COO's Chief of Staff.
What You'll Do
Calendar Management:
Partner with your leaders to efficiently manage calendar needs.
Ensure optimal time management and timely resolution of schedule conflicts.
Communicate with meeting attendees to ensure meeting expectations are clear, creating and delivering agendas as requested.
Proactively resolve calendar issues and potential conflicts for your leader partners.
Expense Report Management:
Accurately manage expense reports aligned with Company procedures.
Ensure timely submission and resolution of any issues.
Administrative Support:
Address day-to-day administrative needs, contributing to smooth operations.
Assist in creating meeting documents, presentations, and agendas.
Contribute to the planning and execution of events, ensuring seamless logistics.
Support the management of office supplies, equipment, and facilities.
Develop and maintain strong working relationships with key stakeholders.
Handle sensitive information with discretion and professionalism.
Travel Coordination:
Book and organize travel arrangements, including flights, accommodations, and transportation.
Provide support to make business trips smooth and hassle-free.

What you have
Minimum education, skills and experience required.
Associate's degree in business, a related field, or equivalent work experience.
Excellent day to day organizational, planning, and time management skills.
Impeccable attention to detail.
Strong written and oral communication and interpersonal skills; seasoned judgment and with the ability to build relationships and collaborate smoothly with stakeholders and departments at all levels.
Process oriented with ability to drive and take ownership.
Demonstrated ability to prioritize tasks in a fast-paced environment.
Proficiency with the Microsoft Office Suite, specifically Excel, Word, and PowerPoint.
Strong problem-solving skills.
Ability to maintain confidentiality and handle sensitive information.
Ability to work effectively both independently and as part of a team.
Motivated to provide high quality client service.
Preferred education, skills, and experience.
Bachelor's degree in business, a related field, or equivalent work experience
3+ years of experience in an administrative support role
Certified Administrative Professional (CAP) or similar professional certification
