Job Summary
The Department of Chemical Engineering has an immediate opening for a seasoned Administrative Assistant to join our department staff to provide management and coordination of administrative support for a portfolio of faculty and researchers, including research- and operational-related activities.
In addition to being someone excited about supporting ChE faculty and researchers, the successful candidate for this position is proactive, enjoys working both independently and in a team setting, and is motivated to solve problems. They place a high importance on customer service in their approach to work and understand the flexibility that is required for this work. They will work collaboratively within the Chemical Engineering Admin Team and with a wide variety of internal and external stakeholders. S/he/they must be an excellent communicator (both written and verbal), an effective listener, and be willing to work on special projects within the department.

What You'll Do
Provide complex administrative support and act as the primary administrative point of contact for assigned Chemical Engineering faculty.
Schedule meetings, create event/availability polls, manage calendar invitations, reserve and prepare meeting rooms, arrange for equipment and other meeting needs, and facilitate meetings via Zoom and other virtual platforms.
Provide end to end operational and logistical support for various department and faculty-specific on-site and virtual events
Manage information gathering and submission process for research visitor requests, utilizing internal HR visitor request system.
Manage faculty and researcher travel reimbursements, ensuring timely processing, accuracy, and adherence to department, college, and university guidelines.
Process orders using internal Online Purchasing System (OPS) and M-Pathways.
Partner with the Chair's assistant on casebook preparation and information gathering for assigned faculty.
Manage casebook preparation and information gathering for research faculty positions.
Provide back-up support and assistance to admin team colleagues.

Required Qualifications*
Bachelor's degree and a minimum of four years of broad and progressive administrative experience performing advanced, diversified, and confidential duties or an equivalent combination of education and experience.
Demonstrated experience coordinating events, conferences, meetings, workshops, and programs.
Demonstrated ability to meet deadlines while managing and prioritizing multiple projects in a fast-paced and often changing environment.
Demonstrated excellent attention to detail.
Excellent problem-solving skills.
Proven ability to work effectively with a diverse group of faculty, students, and staff.
Proven track record of positive relationship building with stakeholders at all levels.
Demonstrated ability to clearly, professionally, and effectively communicate verbally and in writing with a diverse population of stakeholders at all levels.
Demonstrated ability to exercise discretion in handling confidential materials.
Demonstrated experience in MS Office suite, Google Suite, Zoom, and other office and meeting software applications.
Proven ability to work professionally and serve as a representative of the office with discretion.
Strong willingness to learn and master new technologies as needed.
Desired Qualifications*
Experience working within an academic environment preferred, with considerable knowledge of hosting and travel procedures in an academic setting.
Experience coordinating meetings and events, including large-scale events, conferences, and symposiums.
Advanced skills in MS Office suite, Google Suite, Zoom, and other office and meeting software applications
