JOB DESCRIPTION:
This position is the Administrative Assistant II- SES to the Bureau Chief of General Services and Property section. The person in this position is expected to perform highly responsible administrative work. This position requires excellent communication skills in dealing with the public and Department of Education staff. The administrative position will give you experience m state-related programs such as MyFloridaMarketPlace/Ariba and Property section related duties.
DUTIES & RESPONSIBILITIES:

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:
The employee must be productive under tight timeframes, balance multiple and competing priorities, and maintain goal-directed behavior and performance sometimes under stressful conditions. The employee must interact courteously with others. The employee's performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit. Attendance is an essential function of this position.
The employee serves as a main phone line operator and will serve as the main line coordinator. The employee will assist in developing the daily main line operators coverage schedule and will assist in conducting training for new operators. This employee is the back-up point of contact for bureau staff for resolution of main line issues.
The employee serves as an administrative support person for handling administrative tasks assigned by the bureau chief. The employee will assist with preparing notebooks, briefing materials, scheduling and coordinating seminars, and travel, as requested. The employee will properly ensure timely procurement of goods and services through MyFloridaMarketPlace. The employee will properly maintain property section policy and procedures, documentation, and filing systems. The employee will serve as the back-up to the lead coordinator for preparing and disseminating materials in support of listed activities and assist in maintaining, logging, routing, and tracking of all bureau documents.
The employee is expected to provide building operations support and will be the back-up to the lead contact for building work orders. Employee will assist with providing quarterly data collection reports on all work orders entered and will provide trend analysis for management review. Employee will assist with the coordination between the department and DMS staff to resolve problems relating to department building issues.
Employee is designated as the Records Management Liaison Officer for the department. Employee will manage the development, review and maintenance, and submission of the department's record's management procedures annually. Employee will maintain, and keep current, the record management system (Total Recall) for FDOE. Employee will ensure the record management documents are prepared accurately, efficiently, and in an expedient manner to ensure timely processing. Employee will provide records training as needed for all new records custodians. Employee will provide monthly record data collection to the supervisor by the 10th of each month for review.
The employee will assist with intake, scheduling, coordination, and set-up procedures for the first-floor lobby, Café 325, and seventeenth floor conference rooms and meeting spaces. The employee will serve as a back-up to the lead conference room coordinator in their absence. The employee will assist with producing daily and weekly conference room calendars and manages the inventory and maintenance of conference room furniture and audiovisual equipment. The employee will serve as property custodian for the 17th floor AV room. The employee will assist with providing monthly record data collection and conference room inventory reports to the supervisor by the 10th of each month for review.
The employee will assist the contract manager for the department's copier maintenance program, ensuring that all copiers are properly maintained, and monthly invoices are properly processed.
The employee will research and respond within specific timelines to special operational projects assigned by the bureau chief's office and property and operations director. Projects must be completed within established timeframes and accurately address the issue or concern of the requests.
