Job Title: Staff AccountantJob Description

We are seeking a diligent and detail-oriented Staff Accountant to manage expenses and payments. The ideal candidate will be responsible for maintaining accurate financial records, managing supplier portals, and ensuring smooth and timely payments. This role requires a strong understanding of accounting principles and proficiency in QuickBooks.

Responsibilities

Report weekly on all scheduled jobs, product orders, and completed jobs.

Provide accounting steps reports based on invoices generated by subs, vendors, or suppliers.

Manage the bill.com inbox and supplier portals daily.

Review the bill.com inbox to add bills referencing the production support report to validate invoices received weekly.

Record all invoices received into the bill.com inbox by noon CT each Tuesday.

Ensure bill.com syncs to QuickBooks Online and subsequently QuickBooks syncs to AccuLynx to record against jobs.

Add expenses for subs and suppliers from production support reports.

Match invoices received from subs and suppliers to the bills created from product support reports.

Code all expenses accurately.

Assign bills to approvers through bill.com for action.

Schedule payments based on invoice due dates and approval status.

Determine the chosen method for payment (cash or credit card).

Complete a weekly report of all jobs with new signed contracts and invoices created.

Receive cash and checks, document on daily cash receipts, and deposit via remote deposit to the bank.

Document cash receipts in daily cash receipts and immediately take them to the safe.

Record cash receipts in QuickBooks for invoices, including receipts through AccuPay, cash, and checks received.

Reconcile all open accounts receivable against a new report from AccuLynx of all invoices with status to the QuickBooks open accounts receivable report.

Essential Skills

Proficiency in general accounting practices.

Experience with general ledger and reconciliation.

Strong month-end closing skills.

Expense management expertise.

Invoicing proficiency.

1-3 years of experience in accounting.

1-3 years of experience with QuickBooks.

Additional Skills & Qualifications

High School Diploma.

Construction accounting experience is a plus.

Work Environment

This role requires in-office attendance Monday through Wednesday. There is flexibility with Thursday and Friday, although most team members choose to come in every day.

Pay and Benefits

The pay range for this position is $36.06 - $43.27/hr.
