HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:
Working in a discreet environment handling sensitive and personal information daily
Completing transactional duties with special attention to detail, being organized, and multi-tasking
Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant II, your day-to-day responsibilities will include:
With minimal guidance, the Administrative Assistant (AA) will track the workflow of maintenance and rental vehicle orders using sponsor owned systems on a daily basis and will be the primary POC for rental requirements
The AA will be the primary POC for fuel reporting and customer support to include entering information into Sponsor owned system for fuel access
Additionally, the AA will work with the Fleet Manager and Maintenance Supervisor to track internal center maintenance requests ensuring a smooth workflow of maintenance requests through the center
Customer service interactions are daily either by email, phone or in person and the AA is at times, will need to use solid judgement to make to make decisions on their own
Customers include external customers and internal center customers and the candidate will coordinate and fulfill requirements with multiple teams within the center
The AA will be required to prep rental vehicles, which can consist of moving them from one side of the motor pool to another, fueling a vehicle, removing light trash from a vehicle or driving to a local carwash if necessary
Effective communication within the center is required as our personnel and vehicles are often supporting high-level customers and visits with direct impact to the sponsor's overall mission
The AA may be asked to assist in driving government owned vehicles to/from a local vendor to drop off or pick-up a vehicle for external service or to pick-up vehicle parts to use at the center
A sponsor-owned vehicle would be used in these instances. Safety shoes are required when working in or transiting the maintenance bay
The Administrative Assistant (AA) will be required to use the sponsor's internal databases (Service Now based) to coordinate maintenance, rental and fuel workflows, OJT can be provided
The AA will be responsible for updating records to ensure accuracy and an effective proactive approach to vehicle maintenance and customer requirements
Basic proficiency in most MS office programs and intermediate proficiency within MS Excel arc required
Basic proficiency in the use of the sponsor access request system and other sponsor used databases may be required on occasion
The AA will also be required to utilize a sponsor provided digital camera and will be provided a photographer's badge
The Administrative Assistant (AA) will use the sponsor's visitor request database to enter scheduled and unscheduled requests
The Administrative Assistant (AA) will be required to track the workflow of maintenance and rental vehicle orders using sponsor owned systems on a daily basis and will be the primary POC for rental requirements
Additionally, the AA will be the primary POC for fuel reporting and customer support to include entering information into Sponsor owned system for fuel access
Effective and timely communication with internal and external customers via email, phone, and in person is required
The Administrative Assistant (AA) will be required to update internal workflow calendar for specific maintenance requests including vehicle tows and OGA support
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active Top Secret/SCI with Polygraph clearance
HS Diploma and two (2) years of relevant experience or equivalent combination of education and experience
Core hours required: 0730-1600, Monday-Friday; no weekend work is scheduled
Proficient Word, Excel, Outlook, PowerPoint
The position is on customer site

The likely hourly rate for this position is between $23.80 - $32.20. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
