Mascaro is seeking a proactive and detail-oriented Marketing Administrator to support the Marketing team. This role is essential in ensuring the smooth operation of marketing functions, maintaining accurate data, and facilitating communication across departments and with clients. The ideal candidate will thrive in a fast-paced, team-oriented environment and bring a high level of organization, professionalism, and follow-through to every task. Comfort with routine tasks, along with a strong sense of ownership and attention to detail, is key to success in this role, as many responsibilities involve maintaining consistency, accuracy, and process discipline behind the scenes to allow the get work effort to move along efficiently.

Roles and Responsibilities include, but are not limited to:

Maintain and update marketing databases, project records, and team information with precision and confidentiality

Manage the marketing sponsorship inbox, ensuring timely responses and routing inquiries to appropriate team members

Act as a liaison between marketing and project teams to gather project information and support proposal development

Assist in the preparation of RFQs, RFPs, and interview materials, ensuring brand consistency and attention to detail

Help to maintain, organize, and track inventory of marketing materials, project photography, and digital assets

Support general administrative tasks for the marketing department

Position Requirements:

High school diploma is required

2+ years' experience in a marketing or administrative support role, preferably in the construction, architecture, or engineering industry

Strong organizational skills and attention to detail

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) with experience in CRM systems and familiarity with Adobe Creative Suite a plus

Excellent written and verbal communication skills

Understanding of construction industry terminology and the proposal process

Ability to manage multiple priorities and meet deadlines in a collaborative environment

Demonstrates a team-first attitude that aligns with Mascaro's core values and collaborative culture
