Position Summary

The Client Support Specialist role at Buffalo Supply is detail-driven, structured, and highly collaborative. This position requires exceptional attention to detail, as accuracy and compliance with federal requirements are core responsibilities---not secondary tasks.

In this role, you will work at the intersection of customer service, regulatory compliance, and operational execution. You will partner with the customer support teams and sales representatives of our manufacturing partners, federal healthcare facilities, and internal teams to ensure orders, documentation, and communications are accurate, compliant, and complete.

Key Responsibilities

Manage customer communications with professionalism, accuracy, and consistency

Enter, review, and maintain data with a high degree of precision in compliance-driven systems

Apply federal and contractual requirements when reviewing purchase orders and documentation, working with appropriate oversight to ensure accuracy and compliance

Support VA and Department of Defense facilities with compliant ordering and issue resolution

Identify errors, discrepancies, or risks and take appropriate corrective action

Collaborate with internal teams to resolve issues while maintaining compliance standards

Exercise sound judgment, understanding how decisions impact compliance, operations, and profitability

Maintain expertise in assigned processes and assist with cross-training peers

Perform other duties as assigned

Qualifications

3+ years of experience in customer service, call center, or sales roles requiring accuracy and accountability

Proficiency with Microsoft Office (Word, Excel, Outlook)

Experience using NetSuite or a comparable ERP system
