Job Title: Executive Assistant Reports To:CFO

Starting Pay: $25/hour depending on experience.

Job Summary: This role is perfect for an experienced Executive/Administrative Assistant, who knows Quickbooks and who wants to work in this longtime small business environment and do everything from greet customers, answer phones, maintain accurate and organized financial records for the company by recording daily transactions, managing payables and receivables and preparing essential financial reports, ensuring compliance with financial standards and supporting overall financial health.

Key Responsibilities:

Greet customers; answer phones; be able to successfully manage the day to day operations in the office

Record all financial transactions, including purchases, sales, receipts, and payments, into the accounting system.

Manage accounts payable (paying vendors) and accounts receivable (invoicing clients, tracking payments).

Perform bank and credit card reconciliations monthly to ensure accuracy.

May generate monthly financial statements, such as Profit and Loss (PandL) statements and Balance Sheets.

Monitor office expenses, manage petty cash, and handle bank deposits.

Assist with tax preparation and filing, working closely with accountants.

Maintain organized financial files and support audits and financial reviews.

Communicate financial data and discrepancies to management and relevant stakeholders.

Qualifications and Skills:

Proven Experience as a bookkeeper or Administrative Assistant with Bookkeeping experience.

Proficiency with accounting software (e.g., QuickBooks, Xero) and MS Excel.

Strong understanding of bookkeeping principles and practices.

Exceptional attention to detail, organizational skills, and accuracy.

Must be able to multi-task, from answering phones, responding to emails and communication from CFO

Excellent communication and time management skills.

Ability to work independently and meet deadlines.

Education:

High School Diploma or equivalent; Associate degree in Business Administration or or related field preferred.
