Part-Time Office Administrator - Painting Company

Position: Part-Time Office Administrator

Hours: 15-30 hours per week (flexible based on workload)

Position Summary

We are seeking a reliable, organized, and self-motivated Office Administrator to support the daily operations of our growing painting company. This individual will serve as the first point of contact for customers, assist with scheduling, invoicing, bookkeeping support, and help keep office operations running efficiently.

Key Responsibilities

Answer incoming phone calls, emails, and customer inquiries.

Schedule estimates, projects, and crew calendars.

Prepare and send customer estimates, invoices, and follow-up communications.

Track payments and assist with accounts receivable and payable.

Maintain customer records and project files.

Order office supplies and coordinate material orders when needed.

Assist with payroll preparation by tracking employee hours.

Manage social media messages and online customer reviews.

Organize company documents and maintain digital filing systems.

Support marketing efforts, including customer follow-ups and referral programs.

Coordinate with project managers and painting crews to ensure smooth communication.

Perform other administrative duties as assigned.

Qualifications

Previous office administration or administrative assistant experience preferred.

Strong organizational and time management skills.

Excellent verbal and written communication.

Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace.

Experience with QuickBooks or similar accounting software is preferred.

Ability to multitask in a fast-paced environment.

Professional, dependable, and customer-service oriented.

High attention to detail and accuracy.

Preferred Skills

Experience in the construction, painting, or home services industry.

Familiarity with scheduling software or CRM systems.

Basic bookkeeping and payroll knowledge.

Social media and customer service experience.
