Church Administrative Coordinator

The Church Administrative Coordinator plays a crucial role in ensuring the smooth operation of the church's day-to-day activities. This position is responsible for managing the church's and the pastor's calendars, coordinating room bookings across all church properties and supporting the church's overall administrative needs. The role requires a high level of confidentiality, discretion, professionalism and a commitment to the mission and vision of Saint Luke African Methodist Episcopal Church.

Qualifications:

3 to 5 years of experience in administrative work.

Proven experience as an executive assistant, administrative assistant or office manager.

Excellent written and verbal communication skills.

Strong organizational skills and attention to detail.

Proficient in Microsoft office suite, Google Workspace, Zoom, Mailchimp, Canva and church management software.

Ability to manage multiple tasks and deadlines.

High level of integrity, discretion and professionalism.

Ability to work independently and maintain confidentiality.

Preferred Qualifications:

Prior experience working in a faith-based or non-profit organization.

Familiarity with NYC government and business offices.

Familiarity with AME church policy, structure and calendar.

Understanding of liturgical protocols and clergy support in worship settings.

Office Administration:

Oversee the day-to-day operations of the church office and Community Development Corporation.

Answer phone calls and emails and greet visitors with professionalism and hospitality.

Maintain organized filing systems, records and church documents.

Administrative Support:

Manage the Sr. Pastor's calendar and appointments, coordinate pastoral engagements and make travel arrangements.

Maintain accurate records and filing systems, both physical and digital.

Manage and maintain the church calendar in collaboration with ministry leaders to ensure accuracy and prevent scheduling conflicts.

Facility & Room Bookings:

Coordinate and manage room and facility reservations across all church properties.

Coordinate with facilities staff and the availability of equipment and resources for events.

Communicate booking details with maintenance and custodial staff as needed.

Confidentiality & Recordkeeping:

Maintain confidentiality of sensitive pastoral, personnel and financial information.

Support documentation related to baptisms, weddings, funerals and new member intake.
