JOB SUMMARY:

Under the supervision of the General Counsel or his or her designee, the Legal Secretary provides vital administrative support to the legal team professionals to ensure the smooth operation of the Arbitration and Legal departments. This role involves preparing and proofreading arbitration and legal documents, managing schedules, organizing case files, and handling communications. The Legal Secretary must exercise independent judgment and possess a thorough understanding of legal terminology, all while upholding strict confidentiality and professionalism. Excellent organizational skills as well as attention to detail and deadlines, are essential for success in this fast-paced role.

DUTIES AND RESPONSIBILITIES:

Draft, @type, format, and proofread legal documents, including grievances, arbitrations, unfair labor practice charges, pleadings, briefs, general correspondence, and emails.

Maintain and organize files, records, and databases to ensure efficient retrieval and compliance with regulatory requirements.

Setting up and utilizing systems for tracking and organizing information, such as case logs, indices, and union administrative files.

Assist with case preparation by gathering and organizing relevant documents and information.

Retrieve and synthesize information quickly from various sources, including utilizing the internet as a resource tool.

File documents with arbitrators, courts, and government agencies, ensuring strict adherence to deadlines and procedural requirements.

Acting as a liaison between advocates, local union leadership, bargaining unit members, employer representatives, arbitrators, courts, and government agencies.

Maintaining strict confidentiality of sensitive data and case strategies.

Handling mail, electronic filing of documents, and handling correspondence with external parties, including service of process.

Assist in the preparation of presentations and training materials for union education events.

Provide other general administrative support.

Performs other duties as assigned.

QUALIFICATIONS:

Associate's degree in legal studies or related field, OR paralegal certificate, with 2-4 years of hands-on experience in a legal office or a similar administrative role, preferably in labor law or a union setting.

Experience with case management software.

Advanced proficiency in standard office applications (e.g., Microsoft Office Suite).

Advanced proficiency in legal terminology and procedures, and a comprehensive understanding of the legal industry's standards.

Exceptional organizational and multitasking abilities to efficiently handle various administrative tasks in a timely manner.

Strong written and verbal communication skills to draft, proofread, and edit legal documents with precision and professionalism.

High level of discretion and confidentiality in handling sensitive documents and communications, ensuring adherence to data protection standards.

High accuracy in proofreading and managing crucial legal deadlines.

Strong interpersonal skills for interacting with bargaining unit members, attorneys, and opposing counsel.

Utilizing professional discretion, initiative, and independent judgment on a daily basis.

Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

Must be able to work extended hours on occasion when required.

Possess a valid driver's license.
