Position Overview: The Administrative Assistant provides essential support to the Executive Director and helps ensure smooth day-to-day operations. This includes assisting with correspondence, meetings, data entry, programs, fundraising and event planning. This role is ideal for a detail-oriented, self-motivated individual who enjoys a variety of tasks and thrives in a flexible, hybrid remote work environment. This position offers an opportunity to contribute meaningfully to a growing nonprofit wihle maintaining a flexible, part-time schedule.

Education and Experience: High school diploma or Equivalency

Required Skills and Abilities: Strong organizational skills and attention to detail Proficiency with common office tools (e.g. Microsoft Office, Google Workspace) Strong written and verbal communication skills Ability to maintain polite, professional communication via phone, email and mail Comfortable working remotely and managing time effectively Ability to maintain confidentiality

Key Duties and Responsibilities Coordinate virtual and in-person meetings, including calendar management and reminders, materials, electronic meeting packets, RSVP tracking and minutes Assist with preparation for programs, projects and events (virtual, in-person and hybrid) Perform data entry and maintain accurate records Assist with basic financial tracking, data entry and reporting Maintain donor and marketing databases Assist with marketing communications such as social posts and email scheduling Assist with Dolly Parton's Imagination Library registrations, reporting and books Perform general clerical tasks such as document preparation, reports, mailings and other duties as assigned

Preferred (Not Required) Familiarity with QuickBooks Online Experience with donor databases or CRM systems Background in administrative support, nonprofit operations or event coordination

Work Environment, Conditions and Physical Requirements Primarily will work remotely, but will occasionally meet in person with the Executive Director and assist with in-person meetings, programs and events Must be able to occasionally lift up to 20 pounds Must be available for occasional evening or weekend work Collaborative, mission-driven team environment
