Purpose

The Accounting Assistant prepares accounts payable, maintains files, reconciles GLs, and assists the CFO with other projects as assigned. The Accounting Assistant performs all duties and responsibilities in alignment with the mission, vision, and values of the Catholic Diocese of Fairbanks.

Essential Functions

Processes accounts payable (invoices and disbursements requests)

Maintains and updates vendor files

Assists with preparing checks/ACH for accounts payable

Ensures W-9's on file as required - preparation of 1099s

Reconciles accounts payable with general ledger and subsidiary ledgers

Prepares batch for positive pay notification for bank

Updates investments monthly/quarterly (as required)

Prepares Journal Entries for review and posting

Maintains CTNA account

Gathers parish reports and compiles Year-End Reports

Processes Cardpointe donations

Reconciles accounts including, but not limited to, OPER Bank and assigned GL accounts

Maintains reconciliation and updates the National Collections spreadsheet for parishes

Deposits grants received and updates spreadsheet

Prepares budget (as directed)

Prepares and updates Parish Financials (Internal Audit)

Prepares audit (as assigned)

Assists Donations Processing clerks as requested by supervisor

Education and Experience

Associate's degree (A.A.) or equivalent from two-year college or technical school; or two years training; or equivalent combination of education and experience.

Preferred: Minimum two years accounting experience.

Preferred: Extensive QuickBooks experience and understanding to include company setup, full G/L responsibility for multiple companies, and consolidating companies.
