Job Role: Administrative Assistant

Location: In person, On site office, Topeka KS

Exempt, Regular, Salaried, Full-Time (Average of 32 hours per week) 6-month exploratory period.

Starting at: \$39,000.00

This Administrative Assistant position is responsible for the services related to the work of the American Holistic Nurses Credentialing Corporation (AHNCC), including, but not limited to, overseeing and handling the work and responsibilities associated with AHNCCs credentialing and recertification processes.

General Responsibilities

Respond to all phone calls, emails, and people who come to the office.

Manage and secure the office, office supplies, and office computer.

Refer questions that need further response to the appropriate AHNCC staff or resource.

Learn and gain expertise related to AHNCC mission, goals, and responsibilities to help advance the visibility and the growth of AHNCC.

Major Responsibilities related to Credentialing and Recertification Services

Provide support and resources for stakeholders interested in AHNCC certification or recertification.

Oversee CE audits, processing, and documentation of recertification applications. When unsure refer to Executive Director (ED).

Specific Duties

Customer Service Duties

Reset passwords for certificants who cannot log in

Update and maintain database with certificant information when provided

Forward emails or requests to appropriate staff/agencies. (C-NET, AHNA, ED)

Related to Certification Process

Respond to phone calls and to emails ().

Refer questions regarding test application and administration to C-NET.

Supply information on programs, requirements and study materials for certification.

Review updates from C-NET and adjust database records as appropriate.

Work with C-NET when applicants have challenges with the processes.

Other duties as requested.

Related to Recertification and Continuing Competency Processes

Reminder emails and letters to certificants prior to expiration date regarding recertification date and recertification process.

Respond to phone calls and to emails () regarding the recertification process.

Acknowledge receipt of Recertification /Retired applications.

Notify certificants who have been randomly selected for audit; document communication.

Review CE audits and refer to ED as necessary.

Notify certificant of receipt and results of audit.

Document audit findings and update database.

Create and print certificates and letters for certificants Recertifying/ Retiring.

Mail or email certificates and letters to certificants.

Update database with application data.

Upload electronic copies of application documents to database.

Send emails to certificants whose certification has gone Inactive/expired.

Send letters and make phone calls to certificants whose certification has gone Inactive/expired.

Update database of Inactive/expired certificants.

Recommend changes to Recert/ Retired apps to ED/IT Admin as needed.

Manage contact information for certificants.

Send letters requesting new contact information when necessary.

Refer email address problems to IT/Executive Assistant as necessary.

Other duties as requested.
