DESCRIPTION OF WORK

This position provides essential administrative support to maintain accurate records, assist with agency communication, and support budgeting and reporting activities. The role helps ensure that families, agencies, and providers receive timely information and well-organized materials. As an Administrative Assistant 1, you will perform the following duties:

Database Management: Maintain multiple databases to support children placement files

Mail Processing: Handle mail correspondence and process riders as needed

Agency Coordination: Work with other agencies to maintain accurate child file records

Financial Reporting: Compile fiscal data for quarterly, yearly, budget, and statistical reports

Contract Oversight: Create and maintain provider contracts and assist with payment processing

Resource Family Records: Maintain records for contracted resource families and prepare payroll spreadsheets

Work Schedule and Additional Information:

Full-time employment

Work hours are 8:30 AM to 4:30 PM, Monday - Friday, with 30-minute lunch.

Telework: You will not have the option to telework in this position.

Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

Such training as may have been gained through graduation from a four year college or university; or

any equivalent combination of experience and training.

Applicants will be considered to have met the educational requirements once they are within 3 months of graduating with a qualifying degree/credits.

Other Requirements:

You must be able to perform essential job functions.

Legal Requirements:

You must pass a background investigation.

This position falls under the provisions of the Child Protective Services Law.

Under the Law, a conditional offer of employment will require submission and approval of satisfactory criminal history reports including, but not limited to, PA State Police clearance, PA Child Abuse history clearance, and FBI Fingerprint clearance.
