Description We are looking for a detail-oriented Administrative Assistant to support daily office operations for a government-focused environment in Fountain Valley, California. This Long-term Contract position is ideal for someone who can manage a steady volume of administrative tasks, maintain accurate records, and communicate effectively with vendors and internal stakeholders. The successful candidate will bring strong organizational skills, sound judgment, and the ability to keep invoice and contract activities moving efficiently.

Responsibilities:

Process a high daily volume of invoices with accuracy and timeliness to support ongoing operational needs.

Enter invoice details and related records into organizational systems while maintaining complete and up-to-date documentation.

Coordinate payment activity by reviewing invoice status, confirming required information, and helping ensure obligations are handled promptly.

Act as a liaison between vendors and internal teams to share updates, address questions, and keep transactions on track.

Route contracts and supporting paperwork to the appropriate parties for review, approval, and follow-through.

Provide regular status updates on administrative items and communicate clearly when follow-up or corrections are needed.

Perform general office support duties, including handling inbound calls and assisting with front-desk or receptionist-related tasks as needed. Requirements - At least 1 year of experience in administrative support, office coordination, or a similar role.

Practical experience with invoice processing, payment support, or other high-volume data entry activities.

Ability to manage multiple priorities while maintaining strong attention to detail and accuracy.

Clear written and verbal communication skills, especially when interacting with vendors and internal contacts.

Comfortable answering inbound calls and providing detail-oriented front-office support.

Proficiency with standard administrative systems and office software used for recordkeeping and communication.
