Robert Half is hiring on behalf of a Wakefield Trust & Estates firm looking for an experienced Paralegal to support a busy estate planning and probate practice in Massachusetts. This fully on-site role is well suited for an organized individual who can balance legal support duties with operational coordination across the office. The position plays a key part in keeping probate and trust administration matters organized, maintaining efficient daily workflow, and ensuring the team has the structure and resources needed to deliver excellent client service.

Responsibilities:

Coordinate daily activity across probate and trust administration matters to keep files moving, priorities clear, and deadlines on schedule.

Track court filings, task lists, follow-up items, and caseload status, while helping distribute assignments based on team capacity and business needs.

Partner with attorneys and staff to resolve workflow challenges, strengthen office processes, and support consistent matter progression.

Create and refine procedural documents, training guides, and practical checklists that improve accuracy, organization, and team efficiency.

Provide day-to-day guidance to legal and administrative team members, including assistance with onboarding, scheduling, and timekeeping administration.

Manage general office operations such as vendor coordination, supply oversight, service agreements, insurance administration, and related operational needs.

Assist firm leadership with administrative and personnel-related matters that support an organized and well-run office environment.

Contribute hands-on support for probate, trust administration, estate planning, and other legal or administrative work as needed.

Handle sensitive client, employee, and firm information with discretion and sound judgment at all times.

Requirements - At least 3 years of relevant experience in a paralegal, legal operations, or practice support role within a law firm environment.

Background supporting probate, trust administration, estate planning, or closely related legal matters.

Strong organizational skills with the ability to manage multiple deadlines, monitor detailed workflows, and keep matters progressing efficiently.

Demonstrated experience providing administrative management or office coordination support in a detail-oriented setting.

Ability to work collaboratively with attorneys, legal staff, and administrative personnel in a fully in-person office environment.

Clear written and verbal communication skills, with a detail-oriented approach to internal coordination and client-related matters.

High level of discretion and reliability when working with confidential legal, employee, and business information.

Familiarity with corporate governance, trial preparation, or entity formation is considered a plus.
