Accounts Payable Clerk

Description We are looking for an Accounts Payable Clerk to join a growing team in San Jose, California. This position focuses on maintaining accurate payment records, supporting timely invoice handling, and helping keep daily accounting operations organized. The ideal candidate brings hands-on accounts payable experience, strong attention to detail, and confidence working in a manufacturing environment using QuickBooks Desktop.

Responsibilities:

Review incoming vendor invoices, assign correct general ledger codes, and prepare documentation for accurate entry into the accounts payable process.

Process a high volume of invoices efficiently while confirming amounts, purchase order details, and supporting records are complete and accurate.

Perform three-way matching by comparing invoices, purchase orders, and receiving information before submitting payments for approval.

Coordinate recurring and scheduled check runs to ensure vendors are paid on time and according to company procedures.

Maintain organized payment and invoice records, resolving discrepancies with internal teams and external suppliers as needed.

Use QuickBooks Desktop to enter transactions, update payable data, and support accurate financial reporting.

Assist with accounts payable activities related to manufacturing operations, including verifying vendor charges tied to materials or production support services. Requirements - At least 2 years of experience in accounts payable or a closely related accounting support role.

Practical experience coding invoices and processing payments with strong accuracy and attention to detail.

Working knowledge of three-way match procedures involving invoices, purchase orders, and receipts.

Experience preparing or supporting check runs in a deadline-driven environment.

Proficiency with QuickBooks Desktop for invoice entry and accounts payable tracking.

Background in a manufacturing setting is preferred.

Ability to manage multiple priorities, communicate clearly, and follow established accounting procedures.
