Job Description

Insight Global is seeking an experienced Office Manager / Project Coordinator to support a growing cooling tower services and construction-focused organization. This individual will serve as the operational backbone of the office, ensuring public works projects remain compliant, organized, and on schedule from initiation through completion. The ideal candidate will have experience supporting prevailing wage construction projects, certified payroll processes, contractor compliance requirements, and project coordination activities.

This role will work closely with company leadership, project managers, field personnel, and external compliance agencies to manage project documentation, job clearances, payroll reporting, materials tracking, scheduling, and overall office operations.

Skills and Requirements

3+ years of experience in an Office Manager, Project Coordinator, Project Administrator, or similar role within the construction, mechanical, plumbing, HVAC, or related trades industry.

Experience supporting prevailing wage/public works projects.

Strong knowledge of certified payroll processing and reporting.

Experience working with the Department of Industrial Relations (DIR).

Experience reviewing labor classifications and wage codes for compliance purposes.

Experience coordinating contractor compliance and job clearances.

Proficiency with QuickBooks Desktop.

Experience utilizing Microsoft SharePoint and Adobe Acrobat.

Strong project coordination and administrative support experience.

Experience managing service reports, project documentation, scheduling, and materials tracking.

Excellent organizational skills and attention to detail. Experience with cooling tower, HVAC, plumbing, or mechanical contracting organizations.

Experience using Procore or other contractor compliance platforms.

Familiarity with digital project tracking boards and workflow management tools.

Experience supporting project managers in construction operations environments.
