We are looking for an Accounting Administrator to join a collaborative accounting function supporting project, field, design, and operational teams in New Jersey. This Long-term Contract position is well suited for a detail-oriented individual who can manage routine accounting activities, maintain accurate records, and contribute to timely financial processes. The role offers a mix of independent responsibility and team-based coordination, with opportunities to support reporting, budgeting, and day-to-day administrative accounting needs.

Responsibilities:

Manage administrative accounting processes such as vendor onboarding, credit application support, and maintenance of required vendor documentation.

Monitor weekly timesheet and expense submission activity, follow up on outstanding items, and process approved corrections when needed.

Import and review employee expense and credit card transactions, identifying irregularities and confirming compliance with applicable reimbursement guidelines.

Support new employee setup by entering payroll- and payment-related information and providing guidance on timesheet and expense reporting procedures.

Maintain records related to payable timing, including expected payment dates tied to contractual payment terms.

Post daily cash activity and other non-purchase-order expense transactions while helping preserve accurate accounting records across multiple modules.

Assist with the preparation of financial information, audit support materials, budgets, and forecasting data for the accounting team.

Update supplier diversity reporting in external portals and provide general departmental coordination support as business needs arise.

Requirements

2+ years of experience in an accounting, accounting administration, or accounting specialist capacity.

Working knowledge of standard accounting principles and day-to-day financial transaction processing.

Hands-on experience with accounts payable, account reconciliation, expense reconciliation, and expense report administration.

Proficiency with Microsoft Office applications, including Excel, Word, Outlook, PowerPoint, and Teams.

Strong written and verbal communication skills, with the ability to share information clearly with both finance and non-finance stakeholders.

Ability to organize multiple priorities, maintain accurate records, and meet deadlines in a fast-paced environment.

Capable of working effectively both independently and collaboratively while exercising sound judgment and attention to detail.
