PURPOSE
This position is designed to contribute to a collaborative administrative team that provides consistent coverage and high-quality service to the College of Liberal Arts. Responsibilities are shared and rotated among administrative associates to facilitate cross-training, maintain operational flexibility, and promote balanced workloads.
DESCRIPTION
Functional Area 1: Academic & Faculty Support
Percent Effort: 25%
Provides administrative support to the Graduate Coordinator by maintaining application files, practicum logs, oral examination reports, and other graduate program documentation.
Faculty administrative communications including missed class day postings
Academic/administrative deadline tracking
Other academic administrative processes as assigned
Assists with adjunct hiring
Assist with faculty domestic travel
Functional Area 2: Events, Travel & Operations
Percent Effort: 25%
Assist with the coordination of events and special events
Assist with faculty foreign travel/Guest travel/Emburse
Schedule rooms in Astra for special events and classes
Submit work orders for maintenance
Schedule meetings and maintain calendars for the college and shared conference room
Hire, train, evaluate, and supervise department student workers
Functional Area 3: Financial Support
Percent Effort:25%
Assist with department fiscal activities, such as purchasing, Pcard, and reconciling accounts using advanced spreadsheets and/or databases.
Set up vendors for payment using Substitute W9, Quote for Services, and entering Purchase Orders in IslanderBuy
Oversees office supply ordering
Assists with account activity/balance tracking for departments
Assists in processing student awards and tracking account balances
Assists with student travel/Emburse
Functional Area 4: Shared responsibilities
Percent Effort:25%
Front-line point of contact for the college to include greeting and answering calls
Assists with general inbox coverage and general administrative requests
Assists with syllabi review
Assists with Interfolio
Provides cross-coverage for various administrative support tasks
QUALIFICATIONS
High School Diploma or GED
Four (4) years of related experience
Advanced skills in Microsoft Office Suite
Excellent written and verbal communication skills
Positive attitude
Ability to work independently and efficiently with minimal supervision
Ability to work in a fast-paced environment

SALARY: Up to $17.50/Hourly
