Assistant Dean for Facilities and Operations
Required Qualifications (as evidenced by an attached resume):
Master's degree (foreign equivalent or higher degree) in Business Administration, Higher Education Administration, Facilities Management, Construction Management, and/or related field. Five years (5) of full-time, directly-related higher-education experience in operations or building and facilities management. Experience coordinating facilities, renovation, technology, or infrastructure projects in a complex organization. Supervisory experience. Experience working with and maintaining confidential information. Experience with project management, including managing multiple priorities, track requests, maintain records, and coordinate work across multiple stakeholders. Experience supporting technology, AV, networking, or other operational infrastructure. Proficiency with google workspace and/or Microsoft office suite.
Preferred Qualifications:
Experience supporting academic or research infrastructure, including laboratories, instructional spaces, faculty start-ups, equipment installation, AV/technology systems, or sponsored-project facility needs. Experience in implementing SUNY policies and procedures. Experience with procurement, vendor coordination, policy compliance, and safety requirements related to facilities, operations, laboratories, or equipment. Experience coordinating with central service units such as Facilities, Campus Planning, Environmental Health and Safety, DoIT, Procurement, Property Control, University Police, or similar offices.
Brief Description of Duties:
The Assistant Dean for Facilities and Operations is an in-person position that reports to the Associate Dean for Academic Affairs and Operations, and the Dean of the College of Arts and Sciences (CAS), to provide leadership and coordination for facilities, space, infrastructure, equipment, technology, and operational support across CAS. The Assistant Dean will serve as a primary liaison between CAS departments, the Dean's Office, and central campus offices to ensure that academic, research, and administrative spaces are well planned, maintained, equipped, secured, and aligned with college priorities. This is a hands-on role that requires consistent and dependable attention to the safety, security, and condition of CAS spaces and buildings. The successful incumbent must possess strong interpersonal and communication skills, with the ability to work collaboratively with a diverse population of stakeholders.
Coordinate and Manage Facilities, Space Needs, and Staff
Lead CAS facilities and space planning and implementation, including renovations, repairs, service requests, faculty and staff relocations, laboratory start-ups, and space assignments.
Supervise and manage direct reports, including recruitment, hiring, workload distribution, performance programs and evaluations, personnel issues, position descriptions, time-off approvals, professional development, counseling, and termination when necessary. Identify opportunities for training, skills advancement, and improved coordination across projects.
Provide direction to staff, coordinate project updates, communicate departmental priorities, and support implementation of the unit's strategic vision.
Manage renovation, infrastructure, and operational projects by helping define project scope, logistics, timelines, costs, funding considerations, stakeholder roles, and communication plans.
Oversee space-related equipment and infrastructure needs for academic, research, and administrative units, including furniture, laboratory equipment, AV systems, networking, and technology upgrades.
Lead departmental equipment planning and support purchasing, maintenance, relocation, inventory, surplus, and disposal activities. Support procurement processes in partnership with the CAS Budget team, including vendor communication, quotes, purchasing documentation, payment issues, fund selection, and policy compliance.
Direct research infrastructure planning and implementation, including facility planning for faculty start-up packages, equipment installations, laboratory modifications, instrumentation grants, and sponsored projects requiring space, renovations, utilities, maintenance, or specialized facility use.
Assess the feasibility of research and instructional infrastructure requests by coordinating site visits, identifying space and utility requirements, estimating operational needs, and communicating project constraints.
Administer operational, facilities, technology, procurement, and administrative functions for CAS and the Dean's Office.
Provide strategic and operational leadership for departmental shops, technical support areas, and other operational units, addressing staffing needs, safety, equipment, service delivery, and compliance.
Serve as a Liaison and Advocate
Serve as a liaison between CAS departments, the Dean's Office, and central campus offices, including Campus Planning, Facilities and Services, Environmental Health and Safety, DoIT, Procurement, Property Control, University Police, and building managers.
Represent CAS and the Dean's Office as needed on committees related to facilities, operations and infrastructure.
Represent CAS in discussions related to instructional space, teaching laboratories, active-learning classrooms, instructional technology, and equipment purchases.
Work with Academic Affairs and departments to advocate for instructional resources and resolve space or equipment issues that affect teaching. Provide oversight and coordination for departmental shops, technical support areas, and other operational units, including attention to staffing, safety, equipment, service delivery, and compliance.
Manage Accurate Records
Oversee the documentation and tracking of facilities projects, space utilization, operational requests, and college infrastructure needs to ensure accurate and current records.
Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
In addition to the employee's base salary, this position is eligible for $4,000 UUP annual location pay, paid biweekly.
