Job Summary
The services required are equivalent to those provided by Advanced Medical Support Assistant/Clerk and are a foundational role within the patient care team. The Contractor's AMSA shall be able to manage the administrative nonclinical aspect of the Primary care team, that includes but not limited to scheduling and is expected to facilitate any action from inception to closure by tasking, tracking, supporting required functions and other patient activities. The team works collaboratively with other members of an expanded healthcare team to include all necessary services and employees in the facility to provide a robust interdisciplinary approach to care.

Essential Functions
This section provides a high-level summary of the main functions of this position and is not an exhaustive list of all duties required to perform this role.
The AMSA shall perform a full range of receptionist duties: customer service, maintain appointment schedules for one or more clinics or units, operating office machines. store, distribute, account for stores of materials, deliver messages, be knowledgeable of business standards and/or operating procedures within each respective clinic or ward, assist with clinic access contingency plans by adjusting appointment times/locations/dates as well as shift patients to other healthcare providers as conflict with staffing and/or coverage occurs.
The AMSA shall be able to manage the administrative nonclinical aspect of the Primary care team, that includes but not limited to scheduling and is expected to facilitate any action from inception to closure by tasking, tracking, supporting required functions and other patient activities.

The team works collaboratively with other members of an expanded healthcare team to include all necessary services and employees in the facility to provide a robust interdisciplinary approach to care.
The AMSA may be required to provide important interfaces and collaborations within larger healthcare system providers including VA and non-VA specialists, hospitals, diagnostic and treatment facilities, and community-based programs.
The AMSA performs work in the VAMC/CBOCs clinical areas and inpatient wards, which encompasses a variety of different duties and responsibilities relating to provision of Medical Support.
The contractor shall work collaboratively in an interdisciplinary coordinated care delivery model.
The Contractor shall perform the full range receptionist and customer service duties, for the proper and timely treatment of patients and maintaining appointment schedules for one or more clinics or units.
Contractors shall assist with clinic access contingency plans by adjusting appointment times, locations, or dates as well as shift patients to other healthcare providers as conflict with staffing and/or coverage occurs.
The Contractor will ensure patient safety standards are met by using the correct Veteran Affairs identification of all patients using multiple forms of identification confirmation per department requirements.
The AMSA shall use each interaction with the patient to validate and update demographic information, either in person during check-in or over the phone, to decrease the incidence of returned mail due to incorrect addresses and inability to contact patient by phone due to incorrect numbers.
The AMSA will explain the VA's mandate to collect insurance information to veterans, their families, and other eligible patients.
The shall collect, scan, and update health insurance information serving a major role in the revenue process.
The contractor contributes to the revenue collection process by identifying patients with third party insurance.
The Contractor serves are part of the front-line team and the contact with patients and staff, are expected to set the tone concerning quality of healthcare services at the VA.
The contractor shall maintain a high degree of tact and diplomacy when dealing with veterans who have multiple health problems and who may be frustrated with the administrative process associated with diagnosis and treatment.
Professional customer service is essential when explaining procedures to veterans and their family members in person and on the telephone.
The contractor shall, when records are received, ensure that all necessary health/administrative information is integrated into the current computerized patient record system correctly.
The contractor shall screen/receive phone calls in a courteous and timely manner, determine the nature of request and provide the information desired using privacy and established clinic processes.
Related additional duties or tasks may be assigned to ensure efficient daily operations.
The Contractor shall complete accurate scheduling in accordance with department requirements.
Schedule appointments and utilize department SOP's and department guidance with direction of admin leadership accurately in a timely manner.
o All appointments shall be made with the patient's input, either in person by phone or online to avoid patients having to make multiple trips to the medical center or whenever possible.
The contractor shall notify primary care admin Supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes.
The contractor shall conduct a daily review of active/pending consults, Recall, return to clinic list communications for accuracy and disposition.
The on-site Contractor team shall participate in the daily team huddles and weekly team meetings to discuss patients care planning management with their assigned PACT team.
The Contractor shall manage position responsibilities as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs.
The Contractor shall provide administrative services guiding patient to the Transportation Coordinator for Veterans support services functions.
The Contractor shall, validate assigned teams workload and ensure reporting is reviewed to meet department matrix.
The Contractor shall respond to leadership actions items, notifications, and suspense's ensuring there is a timely response in a line with department guidance.
Provide technical guidance necessary to achieve the optimum use of service resources needed by the veteran within the required duties.
Plan and provide support services in the following @types of programs areas: electronic records management; program coordination; patient scheduling, space utilization services.
Provide analysis and recommendations to operating managers and supervisors on how provided services can assist in accomplishing their missions and programs.
The Contractor shall advise veterans of eligibility for Beneficiary Travel reimbursement to include reimbursement rates, financial eligibility, etc.
Communicate with the veteran and stakeholders the conversion of special mode travel requests to patient travel reimbursement voucher claims, when appropriate.

Qualifications
Advanced Medical Support Assistant. Individuals for the positions described with this PWS shall have two (2) to three (3) years of experience or have received certification from an accredited institution related to medical administration.
BLS through American Heart Association
Continuing Medical Education (CME)/ Certified Education Unit (CEU) Requirements: Contractor shall provide the COR copies of current CMEs as required or requested by the facility.

Expected Hours of Work
Your work schedule may vary depending on the contract with the Client. Your start time should be discussed and approved by your facility supervisor if you wish to deviate from the normal operating hours. Employees may be required to work additional hours in order to successfully complete work obligations. Employees are required to obtain prior approval from their facility supervisor before working overtime.
VA Business Hours: The hospital operates 24 hours a day, 7 days a week, 365 days a year including Federal Holidays. Primary Care: Normal clinic hours 0800-1630.
Contractors shall be available to be scheduled to work during hours of 8am to 4:30 pm.
