Accounting & Administrative Coordinator

Description We are looking for an Accounting & Administrative Coordinator to support daily financial and office operations for a public utility team in Racine, Wisconsin. This Long-term Contract position is ideal for someone who brings strong accounting support experience, enjoys keeping records organized, and can manage a mix of clerical and administrative work in a fast-paced environment. The role will handle core tasks across payables, receivables, invoicing, and coordination activities while helping maintain smooth internal processes.

Responsibilities:

Process accounts payable transactions accurately and on schedule, including reviewing invoices and preparing items for payment.

Support accounts receivable activities by recording incoming payments, maintaining balances, and assisting with follow-up on outstanding items.

Enter, monitor, and organize invoice records to ensure complete tracking and proper documentation.

Reconcile procurement card activity and resolve discrepancies by comparing receipts, statements, and internal records.

Maintain vendor information by updating profiles, verifying details, and ensuring records remain current.

Coordinate meetings, events, or department activities by assisting with scheduling, logistics, and related administrative support.

Organize digital and physical files to improve record accuracy, accessibility, and retention.

Provide clerical and executive-level administrative assistance to support day-to-day department operations.

Use financial or municipal software tools, including Munis when applicable, to complete accounting and administrative tasks efficiently. Requirements - At least 5 years of experience in accounting support, administrative coordination, or a closely related position.

Hands-on experience with accounts payable, accounts receivable, invoice processing, and data entry.

Proficiency with accounting platforms such as QuickBooks and the ability to learn new systems quickly.

Strong attention to detail with the ability to manage records accurately and meet deadlines consistently.

Ability to handle multiple responsibilities across clerical, financial, and coordination functions.

Experience reconciling transactions and maintaining organized supporting documentation.

Clear written and verbal communication skills with a detail-oriented approach to internal and external interactions.
