Summary The Lead Medical Support Assistant (LMSA) is in the Nursing Service. Acts as unit receptionist and coordinates all administrative duties related to patient admissions, discharges, and transfers. Distribute and balance the workload among employees in accordance with established workflow or job specialization, assure timely accomplishment of the assigned workload, and assure each employee has enough work to keep busy. Responsibilities Duties include but are not limited to: The Lead Medical Support Assistant works within the Acute Care Service as the primary administrative support for patient admissions, discharges, and transfers. The role serves as the unit's receptionist and manages patient records, verifies physician orders, maintains census information, coordinates communication, orders supplies, schedules follow up appointments, and troubleshoots equipment. A key responsibility is acting as a work leader: distributing and balancing workload, ensuring timely completion of tasks, monitoring work quality, and keeping supervisors informed of progress. The Lead MSA trains team members, provides ongoing guidance, demonstrates correct work methods, and ensures all inpatient MSAs have the knowledge and skills needed for daily duties. The Lead MSA position also involves maintaining efficient workflow, resolving daily operational issues, organizing work structures, scheduling staff, ensuring training requirements are met, orienting new employees, and serving as liaison between MSAs and clinical staff to address day-to-day conflicts. Accurate appointment scheduling, policy communication, and quality assurance are critical components of this role. The LMSA reports to supervisors on staff performance, progress, training needs, and behavioral concerns, and provides input regarding promotions, reassignments, recognition, and personnel requirements. As a work leader, they provide technical direction, train the team, oversee workflow, and ensure timely task completion. Grade Determination:Lead Medical Support Assistant, GS-07 Experience: One year of creditable experience equivalent to the GS-6 level. (Advising clinical staff on current administrative processes; interpreting and verifying provider orders in accordance with scheduling guidelines; scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information when patients check-in for appointments. Coordinates administrative functions relating to emergency and non-emergency transfers to other facilities or private hospitals and determines appointment @type based on the patient's eligibility status (i.e. sharing agreements, collaterals, research patient, employee, etc.) AND KNOWLEDGE, SKILLS, AND ABILITIES (KSAs): In addition to meeting the experience above, the candidate must demonstrate the following KSAs: Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
