Summary The incumbent is an integral part of the Home and Community Care (HCC) Department within the Minneapolis VAHCS Rehabilitation and Extended Care (REC) Integrated Clinical Community (ICC). This position's actual location is located at the Cedar Building not the main Minneapolis VAMC. Assignments include: scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information when patients check-in for appointments. Coordinates administrative functions relating to emergency and non-emergency transfers to other VA facilities or private hospitals and determines appointment @type based on the patient's eligibility status (i.e., TRICARE, sharing agreements, collaterals, research patient, VA employee). Additional duties and responsibilities are consistent with usual operations. The incumbent may serve on assigned committees, work groups and other efforts to meet standards of care as identified by Joint Commission on Accreditation. The incumbent will interface with personal computer (PC) applications as well as numerous VistA and other VA applications. The incumbent sets and adjusts short-term priorities. Assures timely accomplishment of the workload. Performs a variety of administrative functions which support clinic/program operations including but not limited receiving/relaying incoming and outgoing telephone messages, receiving and directing patients and visitors, answering routine inquiries, scheduling appointments, managing consults, and maintaining supplies. Promotes team building and improves business practices. Collects and compiles information as needed to carry out the work of the clinic, program or department. Follows established clinic and appointment scheduling business rules including but not limited to consultations, scheduling, electronic wait lists, recall reminder, encounter action required reports, insurance capture, AudioCare, and missed opportunities. The incumbent is aware of safety concerns, regulations, policies and procedures, and employs appropriate safety practices. Routinely and timely shares pertinent information. Accepts other ideas and integrates appropriate ones into practices. Uses email communication as well as verbal communication in an appropriate manner. Refers all questions requiring immediate medical attention to appropriate health care team members. Fields and resolves customer complaints. Refers more serious unresolved complaints to a higher-level supervisor. Work Schedule: Monday thru Friday, 7:30am-4:00pm Pay: Competitive salary and regular salary increases.
