Description We are looking for a highly organized Admin & Finance Assistant to join our team on a Contract basis. This role supports daily office coordination while handling essential finance and administrative activities that help keep operations running smoothly. The position works closely with office leadership and cross-functional colleagues, making it well suited for someone who is dependable, discreet, and comfortable managing a wide range of priorities.

Responsibilities:

Support accounts payable activities by entering and reviewing vendor bills, following up on outstanding questions, and helping maintain timely payment workflows.

Prepare invoices with close attention to detail and ensure billing information is accurate, complete, and processed on schedule.

Partner with office leadership to coordinate calendars, organize files, and keep administrative records current and easy to access.

Monitor workplace supply levels, place replenishment orders, and track inventory to help maintain an efficient office environment.

Update internal systems through accurate data entry and maintain organized documentation across finance, HR, and general office functions.

Assist with financial recordkeeping, including expense processing, check scanning, and support for monthly account reconciliations.

Provide hands-on administrative assistance for projects, employee activities, client gifting, and company events as needed.

Welcome visitors, route mail and scanned documents appropriately, and help ensure the office operates in a detail-focused and responsive manner.

Support HR administration by maintaining personnel records and assisting with onboarding and offboarding tasks in coordination with the broader HR team. Requirements - Prior experience in office administration, office management support, finance administration, or a similar business support role.

Working knowledge of accounts payable processes and general administrative recordkeeping.

Strong organizational skills with the ability to manage multiple assignments while maintaining accuracy.

Clear written and verbal communication skills and a detail-oriented approach when interacting with vendors, visitors, and internal teams.

Proficiency with Microsoft Office applications such as Word, Excel, and Outlook or comparable Google Workspace tools.

Ability to handle sensitive business and employee information with sound judgment and confidentiality.

Comfortable working independently, adapting to shifting priorities, and contributing effectively in a team environment.

Experience with accounting platforms such as QuickBooks, Xero, or similar systems is advantageous.
