Description

We are seeking an enthusiastic, professional, and customer-focused Receptionist / Front Desk Coordinator to serve as the first point of contact for visitors, employees, and contractors. This role is ideal for someone who enjoys interacting with people, thrives in a fast-paced office environment, and takes pride in providing exceptional service and administrative support.

The successful candidate will be highly organized, detail-oriented, and comfortable managing multiple tasks while maintaining a welcoming and professional presence at the front desk.

Requirements

Key Responsibilities

Greet and assist guests, visitors, contractors, and employees in a professional and friendly manner.

Coordinate with internal hosts to ensure visitors are properly welcomed and granted access to the facility.

Support site security processes by managing visitor documentation, visitor Wi-Fi access, and issuing visitor or access badges as required.

Assist with onboarding activities, including coordinating and issuing access badges for new hires.

Answer incoming phone calls, take messages, and respond to front desk email inquiries.

Manage conference room reservations and coordinate meeting logistics.

Arrange catering and support special events and meetings as needed.

Receive, sort, and distribute incoming mail and package deliveries.

Perform general administrative duties, including filing, data entry, scanning, photocopying, and document management.

Utilize Microsoft Office and company-specific systems to maintain records and support daily operations.

Qualifications

Previous experience in a receptionist, front desk, administrative assistant, or office support role preferred.

Proficiency with Microsoft Outlook, Excel, and Zoom.

Experience coordinating meetings and setting up conference rooms.

Strong verbal and written communication skills.

Excellent organizational and multitasking abilities.

Professional demeanor with a strong customer service mindset.

Ability to maintain confidentiality and handle sensitive information appropriately.

Reliable attendance and commitment to working on-site daily.
