Description
We are looking for an Administrative Assistant to support daily office operations for a non-profit organization in Coalinga, California. This Long-term Contract position is ideal for someone who brings strong organization, attention to detail, and a service-oriented approach to administrative support. The role focuses on keeping front-office activities running smoothly, managing communication, and maintaining accurate records in a fast-paced environment.
Responsibilities:
Welcome visitors and serve as a detail-oriented first point of contact for callers, directing inquiries to the appropriate staff members.
Provide day-to-day administrative support by preparing documents, organizing files, and assisting with general office coordination.
Enter, update, and maintain data in internal records with close attention to accuracy and completeness.
Monitor incoming phone lines, respond to routine questions, and relay messages promptly to ensure effective communication.
Support reception activities by managing front-desk coverage and helping maintain an orderly office setting.
Assist with scheduling, correspondence, and other clerical tasks that help teams stay organized and on track.
Track office information and handle routine administrative processes in alignment with established procedures.
Requirements - At least 3 years of experience in an administrative, office support, or receptionist-focused role.
Demonstrated ability to manage inbound calls effectively and communicate clearly with a wide range of individuals.
Experience performing administrative assistance duties in a structured office environment.
Strong data entry skills with a high level of accuracy and attention to detail.
Proficiency in handling multiple clerical tasks while maintaining organization and meeting deadlines.
Ability to work independently, use sound judgment, and provide dependable support to office operations.
