The Administrative Clerk supports the business unit by performing a variety of basic administrative and clerical tasks that follow well-defined standard procedures. This role focuses on creating and processing invoices, managing inventory, maintaining documentation, and providing responsive customer service. The position requires strong attention to detail, effective communication skills, and the ability to work productively with others in a fast-paced office environment.
Responsibilities
Create, process, and pay invoices accurately and in a timely manner.
Perform inventory management tasks, including tracking, updating, and maintaining inventory records.
Carry out basic administrative duties under immediate supervision, following established procedures and guidelines.
Prepare documents, reports, and spreadsheets to support the needs of the business unit.
Maintain organized files, records, and calendars to ensure easy access to information and efficient scheduling.
Utilize Microsoft Outlook, Excel, Word, PowerPoint, and other department software and systems to complete daily tasks.
Listen to and understand written and verbal instructions, ensuring tasks are completed as directed.
Communicate effectively with co-workers, other employees, and customers, both orally and in writing.
Work collaboratively and productively with others, actively assisting teammates with assignments to maintain overall department productivity.
Respond to customer questions and concerns, referring inquiries to other team members or departments when appropriate.
Actively learn the functions and processes of the department to assist customers more effectively.
Demonstrate concern, sensitivity, and a customer-focused attitude in all interactions.
Apply basic education and training to job responsibilities and assignments, ensuring accuracy and reliability.
Ask questions and seek clarification when unsure how to handle an assignment, demonstrating sound judgment.
Show initiative by taking on assignments beyond routine tasks and contributing to continuous improvement of processes.
Organize data, documents, and processes to support efficient workflow and accurate recordkeeping.
Use analytical and problem-solving skills to identify issues and support resolution within the scope of the role.
Essential Skills
At least one year of administrative work experience in an office or clerical environment.
Demonstrated computer proficiency, including regular use of Microsoft Office products such as Outlook, Excel, Word, and PowerPoint.
Ability to perform accurate data entry and handle clerical tasks with strong attention to detail.
Capability to organize data, documents, and processes in a clear and efficient manner.
Strong verbal and written communication skills for interacting with coworkers, other employees, and customers.
Customer service skills, including responding to questions, providing information, and escalating inquiries appropriately.
Good analytical and problem-solving skills to support day-to-day administrative tasks.
Ability to follow well-defined standard procedures and work effectively under immediate supervision.
Interpersonal skills that support productive teamwork and collaboration within the department.
Additional Skills & Qualifications
Experience in inventory management or maintaining inventory records is beneficial.
Familiarity with department-specific software and systems used in an office environment.
Demonstrated customer focus, including learning departmental functions to assist customers more effectively and showing concern and sensitivity in interactions.
Proven initiative in taking on assignments beyond routine tasks and seeking guidance when needed.
Potential opportunity for conversion to a full-time employee, subject to performance and business needs.
Work Environment
This position is fully onsite in an office setting, working Monday through Friday from 8:00 a.m. to 5:00 p.m. The role is based in a Corpus Christi office and involves consistent use of standard office technologies, including computers equipped with Microsoft Office (Outlook, Excel, Word, PowerPoint) and other department-specific software systems. The environment is collaborative and productivity-focused, with regular interaction with coworkers, other employees, and customers throughout the workday. Standard professional office attire is expected.

Pay and Benefits
The pay range for this position is $13.00 - $15.00/hr.
