Sales Administrative Assistant | 5-days onsite in Germantown, MD | Pay: $20 - $30/hr | 3-month contract-to-hire
Job Description
The Sales Administrative Assistant manages a high volume of inbound and outbound sales leads, provides dedicated administrative support to operations and sales leadership, and delivers an exceptional experience to showroom visitors. This role blends sales support, customer service, and general administrative responsibilities in a growing, startup-style construction-related environment, with opportunities to develop into project management, design, or sales roles.
Responsibilities
Manage approximately 15 inbound leads per day by promptly calling, emailing, and texting each prospect with the goal of scheduling meetings in the showroom or with the sales manager.
Handle 20 or more outbound leads per day, proactively reaching out via phone, email, and text to generate interest and secure appointments.
Re-engage past prospects who did not previously book appointments, following up consistently to convert them into scheduled meetings.
Serve as the administrative assistant to the Vice President of Operations and the Sales & Operations leadership, providing comprehensive administrative support.
Support all construction projects with administrative tasks, including pulling permits, ordering supplies, and coordinating with vendors as directed.
Coordinate with vendors by making calls, sending emails, and tracking responses to ensure timely delivery of materials and services.
Assist with the preparation, organization, and tracking of sales proposals to support the sales process and help close business.
Contribute to marketing efforts by supporting campaigns, outreach, and other promotional activities as needed.
Greet all guests in the showroom warmly, ensuring they feel welcome and well-informed throughout their visit.
Provide snacks and beverages to showroom visitors and offer guided tours of the showroom, highlighting products and services.
Maintain a professional, organized, and customer-focused showroom environment that reflects the company's brand and values.
Perform general administrative duties such as scheduling, document preparation, and data entry to support daily operations.
Collaborate closely with the small internal team, communicating effectively to support rapid growth and evolving business needs.
Demonstrate initiative by identifying opportunities to improve processes and enhance the customer and prospect experience.
Essential Skills
2-4 years of experience in phone-based sales working with inbound or outbound leads in a sales support or administrative sales support role.
Proven ability to manage and follow up on a high volume of inbound and outbound calls, emails, and texts.
Strong customer service skills with a focus on building rapport and guiding prospects toward booking appointments.
Sales-oriented personality with a demonstrated willingness to take initiative and proactively pursue opportunities.
Experience providing administrative support to leadership or sales teams.
Comfort making outbound calls and handling inbound inquiries in a professional and persuasive manner.
Excellent verbal and written communication skills for interacting with leads, customers, vendors, and internal team members.
Strong organizational skills with the ability to manage multiple tasks, leads, and deadlines simultaneously.
Basic proficiency with common office tools and systems used for scheduling, communication, and record-keeping.
Additional Skills & Qualifications
Bachelor's degree preferred but not required.
Experience in administrative sales support or sales administration in a fast-paced environment.
Customer support or customer service background in a phone-based or client-facing role.
Construction industry experience is not required but an interest in construction, design, or related fields can be beneficial.
Ability to adapt to a startup environment where processes may evolve and responsibilities may expand over time.
Interest in growing into project management, design, sales, or related roles as the company scales.
Work Environment
This is a full-time, onsite position with a standard schedule of Monday through Friday, 9:00 a.m. to 5:00 p.m. You will work in a showroom and office environment within a small, rapidly growing organization that operates with a startup mindset. The role involves frequent phone, email, and text communication, as well as in-person interaction with visitors in the showroom. You will collaborate closely with a lean team and company leadership, supporting construction projects, sales activities, and marketing efforts. The setting is professional and customer-facing, and you are expected to present yourself in a polished and welcoming manner while maintaining an organized and inviting showroom atmosphere. Pay and Benefits
The pay range for this position is $20.00 - $30.00/hr.
