Description We are looking for an organized and service-focused Operations Administrator to support meeting and event coordination in San Diego, California. This contract position with potential for a permanent role is ideal for someone who thrives in a fast-paced corporate environment and can balance administrative support with hospitality-driven execution. The role will partner closely with internal teams, planners, and vendors to keep daily operations running smoothly while delivering well-managed on-site experiences.

Responsibilities:

Coordinate corporate meetings and on-site events from initial request through final execution, ensuring all logistics are aligned for a successful outcome.

Serve as the primary point of contact between internal stakeholders and external service providers to organize room setups, event details, and on-site support needs.

Manage reservations for meeting rooms, landlord spaces, and required equipment in partnership with planning teams and booking groups.

Oversee daily coffee and snack service arrangements while tracking related activity, costs, and service quality.

Maintain accurate event records, scheduling data, and annual filing structures within the central database and related documentation systems.

Lead recurring event planning meetings, support Site Affairs activities, and contribute to site-wide event coordination as needed.

Review meeting metrics and reporting related to cost efficiency, sustainability, and service performance, ensuring tracking tools remain accurate and current.

Support invoice review and accounts payable coordination for meetings and events while assisting planners and coordinators with day-to-day operational needs.

Participate in pre-event and post-event discussions, planning calls, and cross-functional collaboration to strengthen execution and continuous improvement.

Help ensure vendor compliance for on-site services and provide additional administrative or operational support as assigned by management. Requirements - Experience supporting corporate meetings, events, or hospitality-based operations in an administrative or coordinator capacity.

Strong organizational skills with the ability to manage multiple schedules, requests, and priorities at the same time.

Clear verbal and written communication skills, with a detail-oriented and courteous approach when working with clients, vendors, and internal teams.

Working knowledge of calendar coordination, conference support, and general administrative assistance.

Ability to maintain confidentiality and handle sensitive event information with discretion.

Comfort working with reporting tools, tracking data, and basic financial or invoice review processes.

Collaborative mindset with the flexibility to assist across teams and adapt to changing operational needs.
