The QC Administrative Assistant supports Quality Control and Quality Assurance functions by maintaining and improving food safety and quality programs, including SQF, HACCP, ISO, and EFfCI certifications. This role works closely with the Quality Systems and Quality Control teams to manage documentation, support laboratory and clerical activities, and ensure ongoing compliance with internal procedures and external standards.
Responsibilities
Support the implementation, maintenance, and documentation of GFSI, SQF, HACCP, ISO, and EFfCI program certifications.
Work directly with the Quality Systems team to maintain, edit, review, revise, and update SQF, HACCP, ISO, and EFfCI documentation.
Collaborate with the Quality Control team to support laboratory and clerical functions as needed.
Review and update documented Food Safety and Food Quality Programs to ensure compliance with GFSI, SQF, HACCP, ISO, and EFfCI standards.
Maintain self-assessments and self-audits of the quality systems to support continuous improvement and compliance.
Perform clerical functions related to Quality Control and Quality Systems documentation, including organizing, filing, and tracking records.
Review quality documentation for accuracy and completeness prior to approval.
Distribute quality documentation via email to internal stakeholders and external customers as required.
Perform typing, scanning, copying, and emailing tasks to support quality documentation workflows.
Provide quality support functions across all levels of the organization, assisting various departments with quality-related needs.
Update, change, and revise material status in the ERP system to reflect current quality and release status.
Communicate effectively with all levels of the organization to support quality initiatives and resolve documentation issues.
Maintain compliance with all company policies and procedures in daily activities.
Participate in annual refresher training and other required training to maintain current knowledge of quality and food safety standards.
Perform related duties as assigned by management that support overall quality and compliance objectives.
Essential Skills
High school diploma or GED.
Excellent computer proficiency, including MS Office (Word, Excel, Outlook).
Ability to work under pressure and meet deadlines while managing multiple tasks.
Ability to work independently and complete assignments within established procedures.
Strong attention to detail and accuracy in documentation and data entry.
Working knowledge of GMP, HACCP, SQF, ISO 9001:2015, and EFfCI.
Good written, verbal, and overall communication skills.
Ability to interact professionally with all levels of the organization internally and externally.
Detail-oriented, organized, and punctual work habits.
Administrative experience supporting quality control, document review, and laboratory-related activities.
Additional Skills & Qualifications
Associate degree preferred.
Experience with quality control, quality assurance, or laboratory environments.
Familiarity with ERP systems and updating material status.
Experience with document management, including typing, scanning, copying, and electronic filing.
Understanding in food safety, cosmetics, or related regulated industries is beneficial.
Interest in professional development, including participation in annual refresher training and ongoing learning.
Desire for growth and willingness to move into different departments as opportunities arise.
Work Environment
This role operates in a combined laboratory and office environment, supporting both hands-on quality activities and administrative documentation tasks. The position follows a Monday through Friday schedule, typically from 8:00 a.m. to 4:30 p.m. The culture emphasizes a great company atmosphere with a laid-back environment that encourages collaboration, open communication, and professional growth. Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr.
