Description We are looking for a dependable Administrative Assistant to support day-to-day office activity and deliver a welcoming, responsive experience for customers in California. This Contract to permanent opportunity is ideal for someone who enjoys keeping operations organized, balancing several tasks at once, and contributing to a productive team environment. The role offers the chance to grow with a company that values initiative, accuracy, and long-term commitment.

Responsibilities:

Coordinate service calendars and arrange appointments to help keep daily schedules on track.

Handle front-office administrative work such as entering information, organizing files, preparing documents, and supporting general office needs.

Assist with invoice-related tasks, billing support, and payment processing to maintain accurate financial records.

Keep office documents and records well organized so information is easy to access and workflows remain efficient.

Respond to incoming calls and provide attentive customer service while directing requests appropriately.

Manage multiple assignments independently in a busy setting while maintaining attention to detail and deadlines. Requirements - Prior experience in administrative support, office coordination, or a similar business support role.

Strong communication skills with a customer-focused approach when assisting callers, clients, and internal team members.

Ability to prioritize tasks, stay organized, and handle several responsibilities efficiently throughout the day.

Familiarity with billing activities such as entering invoices, processing payments, or assisting with customer invoicing.

Proficiency with Microsoft Word, Microsoft Excel, and QuickBooks Online.

Comfortable working independently, using sound judgment, and following through on assigned work.
