Position Summary

We are seeking a highly organized and detail-oriented Administrative & Events Coordinator to support daily office operations while planning and executing company events from start to finish. This role requires a proactive, customer-focused professional who thrives in a fast-paced environment, excels at multitasking, and enjoys coordinating logistics to ensure seamless operations and successful events.

Key Responsibilities

Provide administrative support including scheduling, calendar management, correspondence, filing, and document preparation.

Answer phones, greet visitors, and serve as the primary point of contact for internal and external inquiries.

Coordinate meetings, conferences, and corporate events, including venue selection, vendor management, catering, travel arrangements, and event logistics.

Manage event timelines, budgets, registration, materials, and post-event follow-up.

Maintain office supplies, equipment, and vendor relationships to ensure efficient office operations.

Prepare reports, presentations, and meeting agendas using Microsoft Office applications.

Coordinate travel arrangements, expense reporting, and executive support as needed.

Collaborate with cross-functional teams to ensure successful execution of company initiatives and events.

Maintain accurate records, databases, and filing systems while ensuring confidentiality of sensitive information.

Assist with special projects and other administrative duties as assigned.

Qualifications

2+ years of administrative, office coordination, or event planning experience.

Excellent organizational, time management, and multitasking abilities.

Strong written and verbal communication skills with a professional and customer-focused approach.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with event management software is a plus.

Ability to prioritize competing deadlines and adapt to changing business needs.

Strong attention to detail and problem-solving skills.

Associate's or Bachelor's degree preferred, or equivalent work experience.

Preferred Skills

Experience coordinating corporate meetings, conferences, or special events.

Budget tracking and vendor management experience.

Strong interpersonal skills with the ability to build relationships across all levels of the organization.

Ability to work independently while contributing effectively to a collaborative team.
