Description

We are looking for a dependable Administrative Assistant to support client service and day-to-day operations for teams working in administration and wealth management in Mechanicsburg, Pennsylvania. This part-time opportunity suits someone who is comfortable handling sensitive information, coordinating multiple administrative tasks, and maintaining a high standard of accuracy. The role works closely with relationship-focused professionals and internal partners to help keep client accounts, communications, and scheduling activities organized and on track.

Responsibilities:

Support relationship management staff with the daily administration of trust, fiduciary, and investment accounts, helping ensure tasks are completed accurately and on schedule.

Draft, format, and process letters, forms, reports, and other account-related documents while carefully checking details for completeness and accuracy.

Organize and maintain client records.

Coordinate calendars, client appointments, and meeting logistics, including preparation of materials and setup of virtual meetings through collaboration platforms.

Manage incoming and outgoing mail, shipments, and client correspondence, including time-sensitive deliveries and certified documents.

Track administrative items such as tax paperwork, distributions, and follow-up requests, updating records to reflect current account activity.

Work with operations, compliance, investment, and trust administration teams to help move client requests through the appropriate channels efficiently.

Perform general office and administrative support duties, including phone coverage, data entry, and other tasks that contribute to departmental goals.

Requirements

2+ years of administrative support experience within a financial services, accounting, legal, banking, or related office environment.

Strong organizational skills with the capacity to balance multiple priorities and maintain accuracy in a busy setting.

Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.

Experience with administrative tasks such as correspondence preparation, meeting coordination, mail handling, phone support, and data entry.

Client-service mindset with a consistent focus on responsiveness, reliability, and attention to detail
