Description

Our client, a growing biotechnology company in Del Mar, CA is seeking an experienced and detail-oriented Senior Administrative Assistant to provide high-level administrative support in a dynamic, fast-paced environment. This contract-to-permanent opportunity is ideal for a proactive professional who excels at managing multiple priorities, coordinating across departments, and maintaining confidentiality while supporting day-to-day business operations.

Key Responsibilities

Provide administrative support to senior leadership and department managers.

Manage complex calendars, schedule meetings, and coordinate conference rooms.

Arrange domestic and international travel, including itineraries and expense reports.

Prepare correspondence, presentations, reports, and meeting materials.

Coordinate meetings, take meeting notes, and track action items.

Process purchase orders, invoices, and expense reimbursements.

Maintain organized electronic and physical filing systems.

Assist with onboarding activities, office operations, and special projects.

Serve as a liaison between internal teams, vendors, and external partners.

Handle confidential information with professionalism and discretion.

Support cross-functional teams while ensuring deadlines and priorities are met.

Requirements

4+ years of senior administrative or executive administrative experience.

Previous experience in the biotechnology, pharmaceutical, healthcare, or life sciences industry is highly preferred.

High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

Strong organizational, multitasking, and time management skills.

Excellent written and verbal communication skills.

Ability to work independently while managing multiple priorities in a fast-paced environment.

High level of professionalism, discretion, and attention to detail.

Preferred Qualifications

Experience supporting multiple executives or cross-functional teams.

Familiarity with ERP systems, expense reporting software, or document management platforms.

Experience coordinating meetings, events, and travel logistics.

Strong problem-solving skills and the ability to anticipate business needs.
