We are looking for atalented Administrative Associate -Level II to join our General Management team in Kenner, LA.

In this role, you will make an impact in the following ways:

Serveastheprimarypointofcontactforvisitors,employees,andbusinesspartners,providingprofessionalreceptionandadministrativesupport.

Supportday-to-dayofficeoperationsbycoordinatingadministrativeactivities,managingdocumentation,andensuringrecordsareaccurateanduptodate.

Assistwithnewhireonboardingandorientationactivities,helpingcreateapositiveandorganizedemployeeexperience.

Coordinatemeetings,preparecommunications,takedetailedmeetingnotes,anddistributemeetingminutesandothermaterialsasneeded.

Maintainemployeerecordsanduploaddocumentationintocompanysystemswhileensuringaccuracyandconfidentiality.

Supportfacilityoperationsbycoordinatingmaintenancerequests,schedulingrepairs,assistingwithpurchaseorders(POs),andprocessinginvoices.

Serveasaliaisonforfacility-relatedconcernsandhelpensureissuesareaddressedinatimelymanner.

Prioritizemultipleresponsibilitiesinafast-pacedenvironmentwhiledemonstratingastrongsenseofurgencyandattentiontodetail.

Buildpositiveworkingrelationshipswithemployeesacrossthebranchandsupportcross-functionalbusinessinitiatives.

Completerequiredtrainingonatimelybasis.

AdheretoallrelevantHealth,Safety&Environmentalpolicies,procedures,andlegislationandreportanyissuesorincidentstotheirsupervisor.

Key Responsibilities

Providesadministrativeandofficemanagementsupportforbranchoperations.

Servesasthefirstpointofcontactforvisitors,customers,andemployees,deliveringexceptionalcustomerservice.

Coordinatesonboardingactivitiesandmaintainsemployeedocumentationandrecords.

Attendsmeetings,capturesmeetingnotes,anddistributescommunicationsandfollow-upmaterials.

Maintainsaccuraterecordsanduploadsdocumentationintointernalsystems.

Assistswithfacilitymanagementactivities,includingmaintenancecoordination,vendorcommunication,POcreation,andinvoiceprocessing.

Supportsbranchleadershipwithadministrativeprojectsandoperationalinitiatives.

Demonstratesstrongorganizationalskills,attentiontodetail,andtheabilitytomanagemultiplepriorities.

Handlesconfidentialinformationwithprofessionalismanddiscretion.

Contributestoapositiveteamenvironmentwhilesupportingday-to-daybranchoperations.

Education, Licenses, Certifications: High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations. Experience: Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.

Provide branch reception and customer service

Engage with customers/visitors to identify needs and provide guidance.

Ensure contractor HSE compliance/adherence

Maintain cash records and perform transactions

Ensure HSE inspections are completed and documentation uploaded

Maintain branch access to HSE documentation on cloud for compliance, audit and quick reference purposes

Supervise facilities projects, monitor and report progress
