Description We are looking for a detail-oriented Administrative Assistant to support front-office operations and provide excellent service to residents, homeowners, and internal teams. This contract opportunity has the potential to become permanent and is ideal for someone who enjoys managing calls, resolving questions efficiently, and keeping daily administrative tasks organized. The person in this role will serve as a key point of contact for inquiries related to property services, tenant needs, and general office support while contributing to a responsive and welcoming onsite environment.

Responsibilities:

Manage incoming phone calls, respond to routine questions, and connect callers with the appropriate department or team member.

Provide day-to-day administrative support for office operations, including assistance for maintenance, accounting, and property management staff.

Act as a central resource for residents and homeowners by addressing questions and ensuring requests are handled promptly.

Assist with inquiries related to billing, insurance matters, community information, rent payments, leasing topics, and maintenance concerns.

Record and organize information accurately through data entry and general office documentation tasks.

Use clear and effective communication skills to calm concerns, gather details, and ensure smooth handoff of issues to the correct internal contact.

Learn and work within property management platforms such as AppFolio and support work connected to Vantaca as needed.

Help maintain a welcoming front-office presence by delivering courteous in-person and phone-based customer service throughout the workday. Requirements - Previous experience in an administrative assistant, receptionist, or front-office support role.

Strong customer service skills with the ability to handle questions effectively.

Confident verbal and written communication skills, including clear and thoughtful word choice.

Ability to listen carefully, manage challenging interactions, and help de-escalate concerns when needed.

Experience answering inbound calls and directing requests with accuracy and good judgment.

Solid administrative and data entry skills with strong attention to detail.

Ability to learn new software quickly, including property management systems such as AppFolio.

Comfortable working onsite in a fast-paced office environment during a Monday through Friday schedule. TalentMatch®
