Job Title: Project Coordinator $80k-$100k

Position Summary

The Project Coordinator provides administrative and operational support to the Program Manager in the planning, execution, and monitoring of defense programs. This role is responsible for coordinating project activities, maintaining schedules and documentation, tracking program deliverables, and facilitating communication among cross-functional teams. The Project Coordinator helps ensure projects remain on schedule, within budget, and compliant with contractual and organizational requirements.

Key Responsibilities

Provide day-to-day support to the Program Manager in the execution of defense and government programs.

Coordinate project schedules, meetings, milestones, and deliverables across cross-functional teams.

Prepare meeting agendas, document meeting minutes, track action items, and follow up on assignments.

Maintain program documentation, including integrated schedules, risk registers, issue logs, decision logs, and project files.

Monitor project progress and provide regular status updates, reports, and metrics for leadership and stakeholders.

Assist with project planning activities, resource coordination, and schedule maintenance.

Support budget tracking, labor reporting, purchase requests, and project financial documentation.

Coordinate communication between engineering, manufacturing, quality, supply chain, contracts, and finance teams.

Assist in preparing customer presentations, technical reviews, Program Management Reviews (PMRs), and executive briefings.

Track project risks, issues, and change requests, ensuring timely resolution and escalation when appropriate.

Support contract administration by helping monitor deliverables, milestones, and reporting requirements.

Coordinate subcontractor and supplier documentation and follow up on project deliverables as directed.

Maintain project records in accordance with company procedures and government compliance requirements (e.g., ITAR, CUI).

Support proposal development and program startup activities as needed.

Identify opportunities to improve project coordination processes and administrative efficiency.

Required Qualifications

Bachelor's degree in Business Administration, Project Management, Engineering, or a related field, or equivalent experience.

2-5 years of experience in project coordination, project administration, or program support, preferably within the aerospace or defense industry.

Strong organizational and time-management skills with the ability to manage multiple priorities.

Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.

Experience using Microsoft Project or other project management software is preferred.

Excellent written and verbal communication skills.

Ability to work effectively with cross-functional teams and senior leadership.

Strong attention to detail and commitment to maintaining accurate, audit-ready project documentation.

U.S. Citizenship.

Preferred Qualifications

Experience supporting Department of Defense (DoD) or government programs.

Familiarity with project management principles, Earned Value Management (EVM), and DoD acquisition processes.

Experience with Enterprise Resource Planning (ERP) systems such as SAP or Oracle.

Familiarity with FAR/DFARS, ITAR, and CUI handling requirements is a plus.
