About the Role
We are seeking a detail-oriented and customer-focused Customer Service Representative to support a fast-paced service department. This position serves as a key point of contact for customers, technicians, service managers, and internal teams to ensure service requests are processed efficiently and accurately.
The ideal candidate will have strong organizational skills, excellent communication abilities, and experience managing multiple priorities while maintaining a high level of customer service.
Key Responsibilities
Serve as a primary contact for customers, store managers, maintenance personnel, and internal teams
Process service work orders and customer requests according to established guidelines
Prepare service repair quotes and support service billing activities
Match vendor purchase orders and receive invoices
Process customer billing and assist with accounts receivable functions
Coordinate service activities between technicians, service managers, and account teams
Dispatch service calls and provide technicians with work assignments as needed
Answer incoming phone calls, take detailed messages, and ensure timely follow-up
Provide customers with service updates, estimated completion times, and issue resolution support
Maintain accurate customer records within company and customer-specific systems
Monitor customer accounts and assist with resolving invoice disputes and past-due balances
Prepare service invoices for billing
Support additional administrative and customer service functions as assigned
Required Qualifications
High School Diploma or equivalent
Strong customer service and administrative experience
Excellent verbal and written communication skills
Ability to work effectively in a fast-paced, team-oriented environment
Strong attention to detail and organizational skills
Ability to manage multiple competing priorities simultaneously
Intermediate to advanced proficiency with Microsoft Office Suite
Strong time management and problem-solving skills
Ability to meet both short-term and long-term deadlines
Flexibility to work outside normal business hours and occasional weekends when needed
Preferred Experience
Customer service or service coordination experience
Dispatching or scheduling experience
Billing, invoicing, or accounts receivable experience
Experience supporting field service or maintenance operations
Experience working within service management or work order systems

Pay and Benefits
The pay range for this position is $16.00 - $18.00/hr.
