Description of Job
This position provides administrative support to the Dean, Department Chairs, faculty, instructors and assigned academic programs. Primary duties and responsibilities include:
Administrative Support and Academic Unit Operations
Design, implement, and continuously improve administrative processes and office procedures
Develop and maintain records management practices, communication workflows, tracking systems, and operational processes to ensure consistency, efficiency, and continuity
Coordinate meetings and events, manage calendars, and prepare reports
Collaborate with other administrative assistants to support cross-functional operations
Communication, Customer Service, and Outreach
Serve as primary point of contact for students, faculty, staff, community members, and external partners
Facilitate communication within the academic unit and respond to inquiries
Track and refer student concerns
Support recruitment and retention initiatives
Assist with outreach activities and events
Maintain communication channels and distribution lists
Develop and distribute informational and promotional materials in collaboration with faculty and leadership
Academic Program and Operational Support
Develop and maintain operational processes supporting instructional activities and assigned academic programs
Design and maintain data tracking tools, reporting mechanisms, onboarding practices, and operational workflows
Establish practices for classroom and office logistics
Provide accreditation and assessment support, ensuring compliance with all applicable third-party accreditor requirements
Process FLAC and assist with grant administration
Build accurate course schedules
Coordinate events including career fairs, orientations, and graduations
Support special projects and cross-functional coverage
Budget, Purchasing, Travel, and Fiscal Support
Coordinate purchasing, travel, and related financial processes for assigned academic units
Serve as designated P-Card holder and process purchasing transactions with associated documentation
Develop and maintain expenditure tracking practices to monitor committed and anticipated expenditures
Monitor budget reports, identify resource needs and spending trends
Compile information and recommendations regarding annual administrative operating needs and purchasing requirements
Coordinate travel and reimbursement paperwork
Facilitate catering and official function requests
Ensure compliance with institutional and fiscal procedures
Shared Governance and Institutional Service
Participate in shared governance and contribute to the overall operation and continuous improvement of the College
Support institutional initiatives and serve on committees or workgroups as assigned
Assist with implementation of new processes and systems
Contribute to assessment and planning activities
Collaborate with colleagues across departments and divisions to advance institutional goals and improve student success
Perform other duties as assigned

Minimum Qualifications:
Experience Only: Three (3) years of general office or clerical experience, including at least one (1) year of experience using Microsoft Excel or a similar spreadsheet program to organize, analyze, and report data. This may include creating and maintaining spreadsheets, using formulas/functions, sorting and filtering data, generating charts or simple reports, and preparing data for sharing with others. Daily interaction with students, faculty and staff require that this position have strong interpersonal, communication and organizational skills. Computer literacy is a must. Effective verbal and written communication skills are necessary for success in this position.A resume and cover letter are required, along with the completed employment application. Do not use "see resume" statements in application.Your application must be completed in detail, showing relevant experience in order to be considered. Part time experience will be prorated.

Education and Experience: College, university, or non-correspondence business school course work from an accredited institution in Business or related field may substitute for the clerical experience as listed above on a year for year basis. Preferred Qualifications: Please provide a detailed description on your application of your relevant work experience and document examples of your work in relation to the following: Experience involving a wide range of clerical responsibilities. Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. Attention to detail (ability to check for typographical, grammatical and spelling errors, etc.). Experience and ability to work in a fast paced customer service and data entry environment, and ability to handle multiple tasks simultaneously while meeting targeted deadlines. Experience with problem solving processes. Understand and determine appropriate rules and regulations from various sources. Knowledge in extracting information from various reports. Prior work experience at a community college or other academic environment.
