Job Title: Accounting Specialist / Office ManagerJob Description
This role combines office administration, front desk reception, and accounting support within a well-established, employee-owned construction organization. You will serve as the central point of contact in a close-knit Colorado office while supporting a national accounting team. This position is ideal for someone who enjoys variety, wants to be the go-to person in the office, and has a solid foundation in accounting. You will gain exposure to business operations, project accounting, and AP/AR while helping shape a newly created role with room for growth and professional development.
Responsibilities
Serve as the primary point of contact at the front reception desk, greeting visitors and directing inquiries professionally.
Order and maintain office supplies to ensure the office remains fully stocked and organized.
Keep common areas and break rooms clean, organized, and well stocked for employees.
Assist with employee onboarding, including workstation setup and coordination of necessary resources.
Support employees with day-to-day office needs and act as a general resource for internal teams.
Coordinate miscellaneous administrative tasks and special projects as assigned by leadership or the accounting team.
Maintain printers and office equipment, including basic troubleshooting and coordination of service when needed.
Assist Project Accountants and the broader accounting team with daily accounting activities.
Process check runs and support payment distributions in a timely and accurate manner.
Communicate with subcontractors regarding payment status and respond to inquiries professionally.
Assist with Accounts Payable invoice processing, ensuring accuracy and proper documentation.
Support Accounts Receivable activities, including collections efforts and payment posting.
Generate reports and provide administrative support to the accounting team, including data entry and document preparation.
Maintain fleet vehicle records, including registrations and license plate documentation, and keep related files up to date.
Provide support during month-end activities as needed, assisting with reconciliations, reporting, and documentation.
Collaborate with operations and field teams to support project accounting and general business operations.
Build strong working relationships with office and field employees, contributing to a positive, team-first culture.
Proactively identify opportunities to improve processes, support multiple departments, and step in wherever needed.
Essential Skills
Prior accounting experience or exposure to accounting functions such as Accounts Payable, Accounts Receivable, invoicing, and project accounting support.
Proficiency in Microsoft Excel, including familiarity with functions such as pivot tables and VLOOKUPs.
Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced office environment.
High level of accuracy and attention to detail in data entry, documentation, and financial processes.
Strong communication skills, both verbal and written, with a customer service mindset when interacting with employees, subcontractors, and visitors.
Ability to take initiative, work independently, and follow through on tasks with minimal supervision.
Comfort working as the primary front desk and office administration contact while balancing accounting support responsibilities.
Experience using Microsoft Office applications and general office technology.
A diploma or equivalent level of education.
Additional Skills & Qualifications
Experience with specialized construction or project accounting software (training is available for the right candidate).
Experience within construction, architecture/engineering/construction (AEC), manufacturing, or automotive industries.
Experience supporting accounting or project accounting teams in a professional office environment.
Background in office management, office administration, administrative support, or front desk reception.
Demonstrated ability to work effectively with different personalities and build positive relationships across departments.
Open-minded, team-first attitude with a willingness to collaborate and support others.
Proactive mindset with a willingness to jump in wherever needed and handle a variety of tasks.
Interest in developing deeper skills in Excel, construction accounting, AP/AR, and project accounting.
Work Environment
You will work primarily in an office-based environment with a daily in-office population of approximately 15-25 employees, within a broader team of about 70 employees, most of whom work in the field. The office offers a small, close-knit feel while being supported by a larger, national accounting team and a well-established construction organization. The culture emphasizes employee ownership, a people-first mindset, teamwork, and professional growth. The role involves regular interaction with both office and field personnel, encouraging strong relationship-building and cross-functional collaboration. You will use standard office equipment, including computers, printers, and Microsoft Office tools, with a particular focus on Excel. The position offers variety in day-to-day tasks, exposure to multiple departments, and opportunities to expand your skills in accounting, project support, and office administration.

Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
