Executive Assistant I

Location: Houston, TX (77015) - On-site

Position Type: Full-Time / Temporary-Perm

Schedule: Monday - Friday, 8:00 AM - 5:00 PM (40 hours/week)

Pay Rate: $30 hr

Position Overview

We are seeking an experienced and detail-oriented Executive Assistant to provide high-level administrative support to the General Manager and serve as the primary records administrator.

In this role, you will manage official District records, coordinate Board meeting preparations, handle customer service escalations, organize District events, and support daily office operations. This position requires strong independence, analytical thinking, and the ability to handle confidential information with discretion.

Key Responsibilities

Executive Support: Provide direct administrative assistance to the General Manager, prepare formal correspondence, reports, presentations, and maintain office calendars.

Records Management: Act as the District's records custodian; ensure full compliance with the Texas Public Information Act (Open Records Act), Texas Open Meetings Act, and Texas Local Government Records Retention Schedules.

Document Management: Scan, index, maintain, and retrieve electronic records using Laserfiche and/or Tyler Content Management .

Board Meeting Administration: Prepare Board packets, exhibits, agendas, sign-in sheets, and per diem documentation; transcribe and archive official meeting minutes.

Customer Service & Operations: Assist with customer dispute resolution (Level II support) and maintain positive communication with Board members, vendors, and community members.

Qualifications & Requirements

Education: High School Diploma or GED required.

Experience: 5 to 7 years of progressively responsible administrative or executive assistant experience (with customer service experience).

Technical Skills: Advanced proficiency in MS Office (Excel, Word, Outlook), electronic filing systems, and standard office equipment. Prior experience with Laserfiche or Tyler Content Management is a strong plus.

Soft Skills: Excellent written and verbal communication, strong problem-solving abilities, self-motivation, and strict attention to confidentiality.
