Medical Administrative Assistant

Description We are looking for a detail-oriented Admin Assistant to support front desk operations at a primary care health center. This contract position plays an important role in creating an efficient, patient-focused experience by coordinating administrative activities and keeping daily clinic workflows organized. The ideal candidate is comfortable working in a healthcare environment, communicates effectively with patients and staff, and uses Epic to manage scheduling and records.

Responsibilities:

Coordinate patient arrivals, appointment scheduling, and front desk activities through Epic to support a smooth clinic experience.

Enter, update, and maintain patient information with a high level of accuracy while keeping records organized and current.

Partner with providers, nursing staff, and clinic personnel to keep daily operations aligned and running efficiently.

Answer incoming phone calls, respond to routine questions, and direct messages or concerns to the appropriate team members.

Maintain a welcoming and orderly reception area for patients and visitors.

Prepare administrative documents, routine reports, and other clinic-related materials to support operational needs.

Assist with day-to-day office tasks and help balance shifting priorities in a busy healthcare setting.

Support clear communication between patients and care teams to help ensure timely follow-up and coordinated service.

Handle administrative work in accordance with privacy standards, confidentiality expectations, and healthcare compliance requirements. Requirements - Prior experience in an administrative, reception, or front desk capacity within a healthcare or clinical setting.

Hands-on proficiency with Epic for appointment coordination, registration, and patient record support.

Working knowledge of primary care workflows; exposure to clinical trial operations is beneficial.

Strong organizational skills with careful attention to detail and accuracy in documentation.

Effective verbal and written communication skills with the ability to interact professionally with patients and staff.

Demonstrated ability to manage multiple tasks, adjust to changing demands, and stay productive in a fast-paced environment.

Understanding of patient privacy practices and healthcare compliance standards.

High school diploma or equivalent; additional healthcare administration training or certification is a plus. TalentMatch®
