The Accounts Receivable Specialist manages the full cash application and receivables process, ensuring customer accounts are accurate, up to date, and properly reconciled. This role focuses on posting payments, researching and resolving short pays and chargebacks, and maintaining a clear, accurate aging of accounts. The specialist collaborates closely with internal teams and customers to resolve discrepancies and support efficient cash flow.
Responsibilities
Post payments accurately to customer accounts, ensuring all receipts are recorded in a timely and precise manner.
Reconcile customer accounts regularly to verify balances, identify discrepancies, and maintain accurate records.
Research and resolve short payments, chargebacks, and other deductions by investigating underlying issues and coordinating with relevant stakeholders.
Apply unallocated cash to the correct customer accounts and invoices, ensuring all funds are properly assigned.
Review and maintain aging reports to monitor outstanding balances and support collection activities.
Communicate with internal teams and customers to clarify payment details, resolve account issues, and provide excellent customer service.
Utilize basic Excel functions to track, analyze, and report on accounts receivable data.
Enter and update receivables information in the P21 ERP system, maintaining data integrity and consistency.
Follow established accounting procedures and internal controls related to cash application and accounts receivable.
Support continuous improvement of accounts receivable processes by identifying inefficiencies and suggesting practical solutions.
Essential Skills
At least 3 years of experience posting payments to customer accounts.
At least 3 years of experience reconciling customer accounts.
At least 3 years of experience researching short pays and chargebacks and applying unallocated cash.
Hands-on experience with accounts receivable, cash application, cash posting, and deductions.
Ability to review and interpret aging reports.
Proficiency with basic Excel functions for data entry and analysis.
Experience using an ERP system, preferably P21.
Strong customer service skills when interacting with internal and external stakeholders.
High attention to detail and accuracy in financial data entry and reconciliation.
Solid organizational and time management skills to handle multiple accounts and deadlines.
Additional Skills & Qualifications
Experience working in a dedicated accounts receivable or cash application role.
Familiarity with handling chargebacks and deduction management processes.
Comfort working within structured accounting procedures and controls.
Strong problem-solving skills to investigate and resolve payment discrepancies.
Effective written and verbal communication skills to explain account issues clearly.
Work Environment
This is an on-site role based in Islip, requiring attendance at the office every day. The position operates in a professional office environment that relies on the P21 ERP system and basic Excel for managing accounts receivable activities. You will work closely with finance and customer service teams in a collaborative setting, handling customer accounts and payment information at a workstation equipped with standard office technology.

Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
